Job Summary

The Handel and Haydn Society seeks a highly skilled and organized Executive Assistant to provide support to the Chief Operating Officer. This is a key role that requires exceptional administrative skills, attention to detail, and the ability to work effectively in a fast-paced environment.


Key Responsibilities
  • Manage the COO's calendar and schedule, including coordinating meetings, travel arrangements, and appointments.
  • Provide administrative support to the COO, including preparing reports, managing confidential projects, and delivering timely results.
  • Develop and schedule quarterly DEIA and other organization-wide learning sessions with the COO.
  • Assist with hiring processes, including developing job descriptions, posting and advertising open positions, conducting screening interviews, and communicating results to candidates.
  • Promote a positive workplace culture by administering annual culture surveys, analyzing results, and proposing improvement strategies.
  • Manage the Employee Handbook, collaborating with Marketing to ensure it is up-to-date and accurate.
  • Coordinate onboarding of new employees, orientation, offboarding, and schedule exit interviews.
  • Handle complex and confidential situations and requests, serving as a highly visible resource for the department.
  • Manage performance review and goal-setting system, ensuring expectations and results are communicated clearly.
  • Oversee daily operations of the office, including managing office supply inventory.
  • Generate official internal documents, such as offer letters, appointment letters, salary slips, and warning letters.
  • Monitor the safety and cleanliness of interior and exterior areas, collaborating with building owners and upper management on budgeting for facilities needs.
  • Coordinate all-staff meetings, retreats, and social outings with the Events Manager.
  • Provide front-of-house support.

Requirements
  • Bachelor's degree in human resources, business administration, or a related field.
  • Minimum of three years of work experience, preferably in an executive support role.
  • Excellent verbal and written communication skills.
  • Strong analytical, problem-solving, and organizational skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office or related software.

Compensation: 70-80K
