Job Summary

This is an exciting opportunity to join the CaptiveAire team as an Administrative Support Specialist. In this role, you will provide administrative support to our field technicians, allowing them to focus on their high volume of service calls.

Key Responsibilities
  • Administrative Duties
    • Manage high-volume communication with customers and internal teams
    • Update service team calendars and schedules
    • Process and submit documents, such as tax exemption forms and vendor packets
    • Coordinate parts requests and meter calibration tracking
  • Scheduling
    • Intake and schedule service requests from customers
    • Coordinate scheduling changes and enter notes for local service teams
  • Preventative Maintenance Service Sales
    • Communicate with customers on behalf of service regions
    • Work with local service teams on PM quotes and agreement tracking
Requirements
  • Excellent data entry and organizational skills
  • Strong attention to detail and accuracy
  • Strong written and verbal communication skills
  • Able to work with minimal supervision
Preferred Qualifications
  • High school diploma, 2- or 4-year degree preferred
  • 2-5 years' experience in customer service or administrative-focused role; HVAC industry experience preferred but not required
  • Experience with MS Office, proficiency in Excel
