Job Overview:

To support the growth of the global electric vehicle market in the United States, Forestown is seeking an experienced Administrative Services Manager to lead our internal service department. This role is crucial in overseeing daily administrative functions, managing guest reception, coordinating expatriate relocation, and driving the development of travel and administrative policies.

Key Responsibilities:
  • Lead and manage the internal service department, ensuring efficient and effective delivery of all administrative support services.
  • Supervise, mentor, and develop a team of administrative professionals, fostering a collaborative and results-driven work environment.
  • Establish and implement departmental goals and strategies that align with the company's overall objectives.
  • Oversee the management of office operations, including front desk activities, meeting coordination, and travel arrangements.
  • Act as the primary liaison between the internal services department and other business units, ensuring administrative services are aligned with broader company objectives.
  • Support cross-functional projects and initiatives, ensuring all administrative aspects are managed effectively.
Expatriate Relocation and International Travel Support:
  • Oversee the expatriate relocation process, ensuring housing, transportation, and logistical needs for employees relocating from China to the U.S. are met by the relevant teams and external vendors.
  • Ensure both expatriates relocating to the U.S. and U.S. employees traveling to China comply with visa, immigration, and local regulations.
  • Work closely with HR, legal teams, and external immigration consultants to manage these processes efficiently.
  • Supervise the development and implementation of cultural integration programs for expatriates and U.S. employees traveling to China, ensuring they receive the necessary support.
Policy Development and Implementation:
  • Collaborate with senior leadership, HR, and other departments to develop, refine, and implement administrative and travel policies, ensuring they meet the needs of the organization and comply with legal requirements.
  • Lead the rollout of new policies, providing training and support to ensure consistent application across the company.
Requirements:
  • Minimum of 5-7 years of experience in an administrative management role, with at least 3 years in a leadership capacity.
  • Extensive experience in managing daily administrative operations, including office management, guest reception, meeting coordination, and travel arrangements.
  • Proven experience in expatriate management, including relocation, visa processes, and cultural integration.
  • Strong leadership and team management skills, with a track record of successfully leading and developing administrative teams.
  • Excellent verbal and written communication skills, with the ability to interact professionally with senior executives, staff, expatriates, and external partners.
  • Strong negotiation and conflict resolution skills, with a proactive approach to problem-solving.
  • Exceptional organizational and project management skills, with a keen attention to detail and the ability to manage complex tasks efficiently.
  • Ability to prioritize tasks and adapt to changing circumstances in a fast-paced environment.
  • Experience working in a multicultural environment, with a deep understanding of the unique challenges and needs of expatriates.
  • Proficiency in both English and Chinese is required.
