Job Title: Sales & Marketing Executive Coordinator

Position Overview:
The Sales & Marketing Executive Coordinator / Business Operations Associate plays a pivotal role in the execution and management of various projects that differ in scale and intricacy, directly contributing to the effectiveness of the sales region.

Key Responsibilities:
This role encompasses the execution of business processes that bolster all commercial activities within the organization, ensuring client commitments are met, organizational benchmarks are achieved, and operational challenges are addressed.

Event Management:
- Assist in the planning, execution, and follow-up of external commercial events, including:
   - Venue management
   - Travel arrangements for healthcare professionals (HCP)
- HCP relationship management and compliance oversight
- Budget management for events.

Internal Meeting Coordination:
- Facilitate the preparation, execution, and follow-up of internal meetings and events, which includes:
   - Meeting coordination and participation
   - Venue management
   - Travel arrangements
   - Catering and budget management.

Budget Process Management:
- Support the budget management process, including:
   - Preparation and processing of purchase orders
   - Management of budget change requests
   - Monthly reconciliation and reporting to Finance.

Tender and Contract Management:
- Collaborate with the Commercial team and other stakeholders to manage tenders and contracts, which involves:
   - Preparation and submission of tender/contract dossiers
   - Execution and monitoring of contracts.

Vendor Management:
- Partner with Procurement and Legal to oversee external vendors, including:
   - Contract setup and management
   - Purchase order and invoice management
   - Vendor audits.

Project and Process Management:
- Engage in European business operations projects aimed at developing, implementing, and enhancing standard operating procedures.

General Administration:
- Coordinate site events and celebrations for employees
- Manage the overall team calendar
- Assist in the application of policies and procedures for employees
- Provide onboarding support for new hires, including asset acquisition and training
- Offer administrative assistance to the General Manager.

Stakeholder Collaboration:
- Work with various functions such as Customer Service, Clinical and Technical Support, Pricing and Contracting, Professional Education, and Marketing to achieve organizational objectives.

Qualifications:
- A minimum of 5-7 years of professional experience in business operations, sales or marketing support, personal assistance, or customer relations.
- A bachelor’s degree in business or a related field is preferred, with prior experience in the pharmaceutical industry being advantageous.
- Proficiency in English, both written and spoken, along with an additional language relevant to the sales region is required.
- Strong skills in Microsoft Office 365 and familiarity with collaborative software are preferred.

Working Conditions:
