Job Description Summary

Overview

The Sales & Marketing Executive Coordinator / Business Operations Associate plays a vital role in the execution and management of projects that vary in scope and complexity, directly contributing to the success of the sales division. This position is responsible for implementing business processes that support all commercial functions within the organization, ensuring client deliverables are met, maintaining organizational standards, and addressing operational challenges.

Key Responsibilities
  • External Event Coordination: Assist in the planning, execution, and follow-up of commercial events, which includes
    • Venue selection and management
    • Travel arrangements for healthcare professionals (HCP)
    • Relationship management with HCPs
    • Healthcare compliance (HCC) process oversight and reporting
    • Budget oversight
  • Internal Meeting Coordination: Aid in the organization, execution, and follow-up of internal meetings and events, including
    • Meeting logistics and participation
    • Venue management
    • Travel arrangements
    • Catering services
    • Budget management
  • Budget Management: Support the budget management process by
    • Preparing and processing purchase orders
    • Managing budget change requests
    • Conducting monthly expenditure reconciliation and reporting to Finance
  • Tender and Contract Management: Collaborate with the Commercial team and work with Pricing and Contracting, as well as other stakeholders to manage tenders and contracts, including
    • Preparation and submission of tender/contract dossiers
    • Execution and monitoring of tenders/contracts
  • Vendor Management: Partner with Procurement and Legal to oversee external vendors, including
    • Contract establishment and management
    • Purchase order and invoice processing
    • Vendor audits
  • Project and Process Improvement: Engage in European business operations projects aimed at developing, implementing, and enhancing standard operating procedures
  • General Administration:
    • Coordinate site events and celebrations for employees
    • Create and manage the annual team calendar
    • Assist in the application of policies and procedures for all employees
    • Provide onboarding support for new hires, including asset acquisition and training
    • Offer administrative assistance to the General Manager
  • Stakeholder Collaboration: Work closely with various functions such as Customer Service, Clinical and Technical Support, Pricing and Contracting, Professional Education, and Marketing to achieve company objectives
Minimum Qualifications

  • 5-7 years of professional experience in business operations, sales or marketing support, personal assistance, or customer relations
  • Bachelor's degree in business or a related field, with prior experience in the pharmaceutical industry preferred
  • Fluency in English, both written and spoken, and proficiency in an additional language relevant to the sales region; knowledge of further European languages is advantageous
  • Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams, SharePoint); experience with collaborative and project management software is a plus
  • Strong attention to detail and exceptional organizational skills
  • Able to thrive in a diverse and international work environment
  • Capable of working independently with minimal supervision and collaborating in a matrix organization
  • Ability to work under pressure while maintaining confidentiality
  • Enthusiastic and dedicated with a proactive approach to work

Working Conditions

This role is office-based and may require occasional travel.
