Role Summary:

The Unit Operations Coordinator plays a crucial role in assisting the Unit Manager, Social Services, and the Interdisciplinary Team (IDT) with all administrative functions of the unit, ensuring compliance with relevant regulations and organizational policies.

Key Responsibilities:

  • Manage staff scheduling and prepare bi-weekly payroll with accuracy and timeliness.
  • Act as the primary point of contact for the unit, handling communications for the Unit Manager, Social Worker, and nursing staff, including message taking and email correspondence.
  • Transcribe physician orders, oversee pharmacy refills, and ensure nursing documentation is current and accessible.
  • Perform administrative tasks such as filing, copying, scanning, faxing, and mail distribution, while also managing supply orders for the unit.
  • Maintain comprehensive resident files, including disaster plans, personal effects documentation, and behavior monitoring logs.
  • Coordinate non-employee sitter files and collaborate with Human Resources to ensure background checks are completed.
  • Welcome and assist visitors, families, residents, and staff, fostering a positive environment.
  • Work closely with families and unit staff to manage resident appointments and assist with admissions, while participating in quality improvement initiatives.
  • Communicate important information to families regarding appointments and other notifications on behalf of the Unit Manager and IDT.
  • Monitor resident check-ins and check-outs from the unit.
  • Assist with catalog shopping for resident needs as directed.
  • Perform additional duties as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • Preferred: One year of experience in a long-term healthcare environment working directly with residents and families.
  • Experience in service coordination within a healthcare setting is advantageous.
  • Cultural awareness of Jewish traditions and understanding of Russian émigré issues is preferred.
  • Strong communication skills in English, both written and verbal.
  • Proven interpersonal skills with the ability to manage sensitive and confidential situations.
  • Excellent analytical, organizational, time management, and problem-solving abilities.
  • Ability to collaborate effectively as part of a team.
  • Demonstrated proficiency in computer applications, including MS Office, Excel, Word, and electronic health records.
