Job Responsibilities
  • Verify patient insurance coverage and eligibility, and update demographic and insurance information.
  • Collect and post patient co-payments and outstanding balances, and generate and track patient encounter forms.
  • Maintain accurate records, make daily cash deposits, and respond to patient-care related telephone calls.
  • Identify and prioritize problem-related tasks, and respond to emergency needs by contacting physicians or providers.
  • Resolve patient questions and concerns regarding clinic schedules and billing, and handle requests for prescription refills and appointment rescheduling.
  • Document patient information in computer systems, prepare patient charts, and ensure completeness.
  • Update and maintain the Telephone Message System, and distribute messages to appropriate providers or staff.
  • Enter new referrals, ensure existing referral numbers are linked, and provide patient education on managed care plans and referral processes.
  • Work collaboratively with primary care practices, patients, and specialty practices to process outgoing referrals, and follow up with practices that do not issue referrals or obtain referrals in a timely manner.
  • Interface with staff, providers, and patients regarding denied referrals, and document information and assist with alternate plans of care.
  • Complete and maintain patient schedules, schedule and coordinate patient visits, and communicate with patients regarding scheduled appointments.
  • Notify providers, patients, and others of changes, and maintain recall lists and communicate with patients as appropriate.
  • May inform nursing staff or others of laboratory and diagnostic study results, collect and mail test results, and escort patients to examination rooms and chaperone patients as required.
  • May process business office administrative paperwork, follow up with personnel outside the medical office, and provide guidance to departmental personnel on administrative policies and procedures.
  • Comply with health and safety requirements, regulatory agencies, and established departmental policies, procedures, and objectives.
  • Enhance professional growth and development through educational programs, seminars, and attend meetings, conferences, and seminars as required or directed.

Requirements
  • High School Diploma/GED (or higher).
Preferred Qualifications
  • Additional specialized medical secretarial/medical office training.
  • Superior customer service skills, ability to multi-task, and resolve patient concerns in a timely manner.
  • Excellent communication, interpersonal, and organizational skills.
  • Familiarity with various software applications, such as Microsoft Word, Outlook, and Excel.
