Patient Care Coordinator Associate

Key Responsibilities:
- Verify patient insurance coverage and eligibility using our computer-based registration system
- Update patient demographic and insurance information
- Collect and post patient co-payments and outstanding balances
- Generate and track patient encounter forms, ensuring completeness and accuracy
- Maintain accurate records and make daily cash deposits as assigned
- Respond to patient care-related phone calls, providing routine information and referring matters to the appropriate person
- Identify and prioritize patient needs, responding to emergencies and contacting physicians as needed
- Resolve patient questions and concerns regarding clinic schedules and billing
- Document patient information in our computer system
- Prepare patient charts and ensure completeness
- Update and maintain our Telephone Message System (TMS)
- Enter new referrals and ensure existing referral numbers are linked in the system
- Provide patient education on managed care plans and referral processes
- Work collaboratively with primary care practices, patients, and specialty practices to process outgoing referrals
- Interface with staff, providers, and patients regarding denied referrals
- Complete and maintain patient schedules, coordinating visits and medical procedures
- Notify providers, patients, and others of changes to scheduled appointments
- Maintain recall lists and communicate with patients as needed
- May escort patients to examination rooms and chaperone patients as required
- May process administrative paperwork, such as purchase requisitions and employee timesheets
- Provide guidance to departmental personnel on administrative policies and procedures
- Comply with health and safety requirements and regulatory agencies
- Enhance professional growth and development through educational programs and seminars
- Attend meetings, conferences, and seminars as required or directed
Requirements:
- High School Diploma/GED (or higher)
- 1+ years of customer service experience
- 1+ years of experience working in a healthcare setting
- Intermediate level of proficiency with Microsoft Office, including Word, Outlook, and Excel
- Ability to work in an office setting at 123 Summer St. Worcester, MA 01608
- Ability to work 38.75 hours a week, Monday through Friday, 7am-5pm EST
Preferred Qualifications:
- Specialized medical secretarial/medical office training
- Previous pediatrics experience
Soft Skills:
- Ability to multitask and resolve patient concerns in a timely manner
- Ability to think critically and exercise sound judgment
- Excellent communication, interpersonal, and organizational skills
