Position Overview

Role Summary:
This role is designed to deliver essential administrative support to the leadership team at Dartmouth College, specifically within the Rockefeller Center. The successful candidate will enhance operational efficiency and facilitate the coordination of various activities to ensure seamless functioning of the center.

Key Responsibilities:
1. Calendar Management:
  • Oversee and organize a complex daily appointment schedule to optimize the Director's time.
  • Coordinate and arrange diverse activities to support office functions and meetings.
  • Keep the Director informed of any changes in schedules and priorities.
  • Regularly update schedules and prepare for upcoming meetings.
  • Collaborate with other departments to arrange joint events.

2. Meeting Coordination:
  • Attend and contribute to various meetings as directed by the Director.
  • Compile information for meetings, prepare agendas, and distribute materials to participants.
  • Document meeting minutes and ensure timely dissemination of reports.

3. Communication and Coordination:
  • Engage with a wide range of internal and external stakeholders, conveying information on behalf of the Director.
  • Manage appointment requests and redirect inquiries to the appropriate personnel.
  • Handle confidential information with discretion and integrity.
  • Assist in drafting and proofreading external communications.

4. Project Management:
  • Plan and oversee projects and special events related to center initiatives.
  • Implement project activities based on established objectives.
  • Maintain schedules and evaluate project outcomes.
  • Coordinate logistics for special events, including speaker arrangements and venue reservations.

5. General Office Support:
  • Draft and proofread correspondence for review and signature.
  • Prepare various materials, ensuring accuracy and clarity.
  • Orient new staff and visitors to the office environment.

6. Academic Support:
  • Coordinate activities for student assistants and fellows, including onboarding and time management.
  • Serve as a point of contact for class management and related events.
