POSITION SUMMARY

A Healthcare Support Specialist is a versatile professional trained to assist in various functions within a medical facility under the direct oversight of a licensed physician. This role is integral to patient care management, clinical procedure execution, and appointment scheduling, as well as handling necessary referrals, verifying patient information, and managing co-pay collections, all while addressing patient inquiries under the guidance of the Practice Manager and physician.

KEY RESPONSIBILITIES

  • Identify yourself as a Healthcare Support Specialist at all times while on duty, ensuring visibility through appropriate identification.
  • Welcome patients courteously and efficiently address their inquiries and requests.
  • Schedule patient appointments following established protocols.
  • Ensure all referral and authorization information is confirmed prior to patient appointments.
  • Facilitate patient check-ins, gather essential information, and manage insurance documentation as necessary.
  • Update patient demographics and insurance details in the management system during each visit.
  • Inform clinical staff of patient arrivals and provide necessary documentation for their visits.
  • Collect co-payments and other fees at the time of service, adhering to established cash handling protocols.
  • Answer phone calls in a professional manner, in line with corporate customer service standards.
  • Optimize scheduling to maximize the use of available appointment slots.
  • Process referrals according to office protocols.
  • Confirm patient appointments via phone as directed.
  • Adhere to corporate policies and procedures, as well as carrier guidelines.
  • Prepare necessary information for upcoming appointments according to established protocols.
  • Under the supervision of a licensed physician, the Healthcare Support Specialist may perform the following clinical tasks:
  • Administer basic healthcare services and treatments.
  • Apply dressings and bandages as needed.
  • Assess patients' physical conditions to assist in diagnosis or treatment.
  • Support practitioners during medical procedures.
  • Collect biological samples from patients.
  • Conduct diagnostic tests to evaluate patient health.
  • Manage prescription refills or authorizations.
  • Dispose of biomedical waste according to standards.
  • Communicate technical medical information to patients effectively.
  • Administer medications and perform non-intravenous injections.
  • Gather medical information through patient interviews.
  • Maintain inventory of medical supplies and equipment.
  • Operate medical equipment proficiently.
  • Perform general administrative duties within the office.
  • Prepare medical instruments for use.
  • Set up patient treatment areas appropriately.
  • Document medical billing information as instructed.
  • Record vital statistics and other health-related information.
  • Schedule patient procedures or appointments efficiently.
  • Document all relevant interactions in the electronic medical record system.
  • Recognize the limitations of the Medical Assistant role.
  • Coordinate schedule changes with the front desk staff.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • High school diploma or GED is required.
  • Current Healthcare Provider Basic Life Support (CPR and AED) certification is mandatory.
  • Must possess and maintain Medical Assistant certification or equivalent from an accredited organization.

  • Exhibit strong customer service and interpersonal skills, with keen attention to detail and excellent communication abilities.

  • Proficient in computer use, including MS Office, with the ability to learn new applications quickly.
  • Preferred experience with electronic health records (EHR) systems.

PHYSICAL REQUIREMENTS

  • Light to medium physical strength (up to 25 pounds).
  • Moderate standing and walking, up to 50% of the time.
  • Frequent keyboarding and dexterity, up to 50% of the time.
  • Ability to focus on a computer screen for extended periods.
  • Mobility to work in various positions (standing, sitting, bending, walking) for prolonged periods.
  • Effective verbal communication skills are essential.
  • Visual and auditory capabilities are required.
