Position: Customer Service Representative - Optical Lab

Department: Optical Lab

Reporting To: Upper Management

Role Summary:

The Customer Service Representative within the Optical Lab is tasked with delivering outstanding service to clients and customers, ensuring that all inquiries and orders are handled with precision and efficiency. This position necessitates a comprehensive understanding of optical products and services, excellent communication abilities, and a dedication to upholding a high standard of customer satisfaction.

Key Responsibilities:

  1. Client Engagement:
    • Manage incoming communications from customers via calls, emails, and other channels.
    • Provide detailed information regarding products, services, and order progress.
    • Resolve customer complaints and issues in a timely manner.
  2. Order Management:
    • Input and oversee customer orders in the system, ensuring meticulous attention to detail.
    • Monitor orders throughout the production cycle and update customers as necessary.
    • Collaborate with the production team to guarantee timely completion and dispatch of orders.
  3. Product Expertise:
    • Maintain an in-depth knowledge of optical products, including lenses, frames, and coatings.
    • Guide customers in selecting products and assist them in making informed choices.
    • Stay informed about new offerings and services from the company.
  4. Quality Control:
    • Verify order accuracy prior to processing.
    • Work alongside the optical lab team to ensure customer specifications are fulfilled.
    • Assist in addressing any quality or delivery issues related to orders.
  5. Documentation and Reporting:
    • Keep precise records of customer interactions and transactions.
    • Generate and distribute reports on customer service activities as needed.
    • Support inventory management efforts.
  6. Team Collaboration:
    • Engage with other departments, including sales, production, and shipping, to ensure a seamless customer experience.
    • Participate in team meetings and contribute to initiatives aimed at continuous improvement.

Qualifications:

  • Prior experience in customer service, ideally within an optical or healthcare environment.
  • Additional education or certification in optical services is advantageous.
  • Exceptional communication and interpersonal skills.
  • Proficient in computer systems and software, particularly order management platforms.
  • Able to thrive in a fast-paced setting and manage multiple responsibilities simultaneously.
  • Detail-oriented with a strong commitment to accuracy and quality.

Working Environment:

  • Standard office setting within the optical lab.
  • Occasional lifting of materials and equipment (up to 25 lbs.).
  • Regular use of computers and telephone systems.
