Job Title: Proposal Development Specialist

Job Summary:

The Proposal Development Specialist plays a critical role in collaborating with sales managers and account teams to develop a comprehensive RFP plan that highlights Encore's value proposition. This position is responsible for coordinating and producing high-quality proposal responses, ensuring timely delivery, and maintaining strict adherence to company standards.

Key Responsibilities:
  • Manage the RFP response process, positioning Encore for success through customer-facing proposals.
  • Create compelling customer-facing outputs that showcase Encore's competitive strengths and best practices.
  • Coordinate RFP responses, including reviewing and analyzing RFPs, collaborating with sales and account managers, and validating data with subject matter specialists.
  • Assign tasks and timelines to various departments, monitor progress, and compile all information into a proposal format that meets RFP requirements and Encore standards.
  • Ensure the quality of proposals, including grammar, formatting, and imagery.
  • Assemble documents in various formats, including textual, digital graphics, web, and video, to position Encore for success.
Proposal Tools and Data Management:
  • Utilize a content database to manage proposal development collateral and assist with updates for shared access with the Proposal Team.
  • Use CRM to track proposal success rates, revenue capture, and gather event information for proposal creation.
  • Develop and manage Proposal Completion Plans using internal project management software.
Sales Strategy Development:
  • Coach sales teams in persuasive writing and proposal best practices.
  • Partner with sales managers and account specialists to maintain high standards during the bidding process.
  • Focus on understanding customer needs, past experiences, and current requirements to tailor a custom narrative in each proposal.
  • Explain each solution presented and how it meets customer needs.
Template Standards Management:
  • Administer company-adopted proposal standards using a proposal template and other company-wide collateral.
Job Qualifications:
  • Bachelor's Degree in Sales, Marketing, Communication, or Business Administration preferred.
  • 3-5 years of Sales and Marketing experience.
  • Experience planning, producing, and delivering customer-facing documents in a complex business environment.
  • Event and meeting industry-related experience preferred.
  • Advanced skills in MS Office (Word, Excel, PowerPoint), CRM platform/content management (database).
  • Ability to easily learn various computer software.
  • Excellent communication skills – both oral and written.
  • Strong time management/prioritization skills.

Work Environment:

Office. Work is performed primarily in an office environment. Working times may include irregular hours and on-call status, including days, evenings, weekends, and holidays. Team members must adhere to appearance guidelines as defined by Encore based in an office environment and when traveling, on an individual venue or a representation of venues in that city or area.
