Job Title: Senior Assistant

Massachusetts Institute of Technology (MIT) is seeking a highly skilled and experienced Senior Assistant to provide comprehensive office and administrative support to the Institute auditor, management team, and division staff.

Job Summary:

The Senior Assistant will exercise independent judgment and anticipate needs; provide comprehensive calendar management and meeting scheduling for the Institute auditor; assist with preparations for risk and audit committee meetings (in person and virtually) at least six times per year, including planning and coordinating logistics and compiling and distributing materials and related reporting; and act as a liaison between the division and a variety of organizations within and outside MIT.

Responsibilities:
  • Provide administrative support to the Institute auditor and management team
  • Manage and maintain complex calendars and schedules
  • Coordinate logistics and preparations for risk and audit committee meetings
  • Compile and distribute materials and related reporting
  • Act as a liaison between the division and various organizations
  • Exercise independent judgment and anticipate needs
Requirements:
  • High school diploma or equivalent
  • At least five years of administrative assistant or related office experience
  • Excellent interpersonal, communication, organizational, and word processing skills
  • Keen attention to detail
  • Flexibility
  • Good judgment and discretion with confidential/sensitive information/data
  • Experience performing multiple projects concurrently and working with different team members
  • Proficiency with Microsoft Office (specifically Outlook, Word, Excel, and PowerPoint), Zoom, Dropbox, and Visio
Preferred Qualifications:
  • Bachelor's degree
  • Familiarity with SAP, Tableau, and Qualtrics
  • Familiarity with cloud-based applications
  • Experience in academia
