Position Overview:

The primary role of the Parts Counter Representative is to drive revenue by providing parts to customers through various channels, including over-the-counter sales, service department interactions, and phone inquiries.

Key Responsibilities:

  • Assist technicians in identifying necessary parts for service repair orders while managing inventory for frequently used items.
  • Inform customers about related part requirements and promotional offers, ensuring they are aware of the complete product range.
  • Respond to phone inquiries, offering pricing information and additional details as needed.
  • Deliver exceptional service to both internal and external clients.
  • Retrieve and fulfill orders from inventory.
  • Alert the parts manager regarding out-of-stock items or urgent shop supplies.
  • Source out-of-stock parts from external suppliers and place emergency orders when required.
  • Notify service advisors and customers upon receipt of special ordered parts.
  • Prepare orders for delivery to the service department, ensuring all parts are labeled with customer names and job numbers.
  • Follow up on back-ordered items.
  • Review will-call and back-order files weekly, returning or restocking items as necessary.
  • Restock assigned inventory on a daily basis.
  • Assist outside sales representatives with their orders.
  • Ensure all internal parts requests are charged to the service repair order.
  • Process payments from retail customers or obtain credit approvals.
  • Verify that all charge sales are signed by the customer.
  • Provide customers with their copy of the invoice.
  • Issue credits for returned parts, ensuring the original invoice or its number is available for verification.
  • Track and manage requested shop tools for technicians.
  • Maintain organized records of all repair orders, invoices, insurance estimates, and special order parts.
  • Prepare orders for daily shipment, delivery, or customer pick-up.
  • Engage with assigned accounts via phone.
  • Keep the front and rear counter areas tidy and organized.
  • Participate in all available training programs.
  • Stay updated on new products and product enhancements.
  • Collaborate with the parts manager to maintain a lost sales tracking program.
  • Uphold a professional appearance at all times.

Qualifications:

Minimum Qualifications:

  • Strong knowledge of automotive components.
  • Experience with ADP systems.
  • Over 5 years of prior automotive management experience in a high-volume environment.
  • Comfortable navigating ambiguity in a dynamic setting.
  • Commitment to ethical business practices.
  • Knowledge of and compliance with relevant federal, state, and local regulations affecting service operations.
