Ultimate Staffing is seeking a Procurement Specialist for a gourmet food organization known for its positive workplace culture. This role is essential in supporting the procurement process and ensuring that the company’s operational needs are met efficiently.

Position Overview:

The Procurement Specialist will assist the Director of Purchasing in sourcing and acquiring items necessary for production, office supplies, maintenance, repair, and operations (MRO), as well as any other general requirements of the organization. This includes issuing purchase orders in alignment with company standards and production demands, as well as conducting purchase and usage analysis while maintaining necessary documentation.

Key Responsibilities:

The responsibilities outlined below are not exhaustive. The Procurement Specialist may be tasked with additional duties as required by management:

· Utilize ERP systems to extract and analyze data for informed decision-making.

· Conduct routine inventory counts and report any discrepancies to the purchasing manager.

· Assist in the implementation of the Approved Vendor Program.

· Assess and evaluate high-risk vendors and ingredients, seeking alternative sources to mitigate risks.

· Place regular purchase orders as directed by management.

· Ensure the accuracy of pricing on all purchase orders.

· Prepare and print purchase orders for the upcoming workday.

· Follow up with suppliers to confirm delivery schedules.

· Reconcile purchase orders, receiving documents, and invoices, verifying quantities in the system.

· Scan and archive all purchase documents into the ERP system.

· Propose enhancements for purchasing processes and procedures.

· Timely follow up on incomplete documentation and discrepancies in shipping and receiving.

· Conduct necessary analyses to support data-driven purchasing recommendations.

· Maintain all paperwork related to supply chain purchasing functions.

· Communicate and coordinate with scheduling teams to provide necessary information.

· Manage obsolete and short-coded purchased materials.

· Undertake projects and tasks assigned by the purchasing manager to support daily operations.

Required Skills and Qualifications:

· Strong organizational skills with the ability to prioritize and complete multiple tasks.

· Effective problem-solving abilities.

· Capacity to work collaboratively and independently.

· Demonstrated resourcefulness and initiative.

· Excellent verbal and written communication skills.

· Proficient in word processing, spreadsheets, email, order processing, inventory control systems, and manufacturing software.

· Attention to detail in pricing and verification tasks.

· Prompt follow-through on communications with vendors and the operations team.

Education and Experience:

· High school diploma required; 1-2 years of college education preferred.

· Familiarity with ERP systems and ability to execute purchasing transactions.

· Proficient in Microsoft Office Suite.
