Ultimate Staffing is seeking a Procurement Specialist for a gourmet food enterprise known for its positive workplace culture. This role is essential in supporting the purchasing department's daily operations.

Position Overview:

The Procurement Specialist will assist the Purchasing Director in sourcing and acquiring materials necessary for production, office supplies, maintenance, repair, and operations (MRO), as well as any other general requirements of the organization. Responsibilities include issuing purchase orders in line with company protocols and production demands, conducting purchase and usage analysis, and maintaining relevant documentation.

Key Responsibilities:

The following duties are not exhaustive. The Procurement Specialist may be assigned additional tasks by management as needed:

· Utilize ERP systems to gather data and analyze outcomes for informed decision-making.

· Conduct regular inventory counts and report any discrepancies to the purchasing manager.

· Assist in the implementation of the Approved Vendor Program.

· Assess and evaluate high-risk vendors and ingredients, identifying alternative sources to mitigate risks.

· Execute routine purchase orders as directed by management or the purchasing manager.

· Confirm the accuracy of pricing on purchase orders.

· Prepare all purchase orders for the following business day.

· Follow up with suppliers to confirm delivery schedules.

· Reconcile purchase orders, receiving documents, and invoices, ensuring quantity accuracy in SAP.

· Digitally archive all purchasing documents in SAP.

· Propose enhancements for purchasing processes and operational improvements.

· Ensure timely follow-up on incomplete documentation, missing shipping and receiving documents, and pricing discrepancies.

· Conduct necessary analyses to support data-driven purchasing recommendations.

· Maintain comprehensive records related to purchasing functions within the supply chain.

· Communicate and coordinate with schedulers to provide necessary information.

· Manage obsolete and short-coded purchased materials.

· Undertake projects and tasks assigned by the purchasing manager to support the purchasing department's daily activities.

Required Skills and Qualifications:

· Strong organizational abilities, with a focus on prioritizing and completing multiple tasks.

· Effective problem-solving skills.

· Capability to collaborate with others as well as work independently.

· Demonstrated resourcefulness and initiative.

· Excellent verbal and written communication skills.

· Proficient in word processing, spreadsheets, email, order processing, inventory control systems, and manufacturing software such as SAP.

· Attention to detail in tasks, including pricing and quantity verification.

· Prompt responsiveness to calls and emails from vendors, suppliers, and the operations team.

Education and Experience:

· High school diploma required; 1-2 years of college education preferred.

· Familiarity with SAP and ability to perform purchasing transactions within the system.

· Proficient in Microsoft Office Suite.
