Job Overview

ROLE OBJECTIVES

The Construction Project Liaison's primary goal is to guarantee the smooth and effective management of construction initiatives from start to finish. This position plays a crucial role in synchronizing various elements of the construction workflow, fostering clear communication among project participants, and upholding superior quality standards in all outputs.

KEY RESPONSIBILITIES

  • Commence projects by collecting vital information and collaborating with internal Development and Construction teams to ensure a seamless project initiation.
  • Create Initial Timelines with the internal Construction team to outline a strategy for timely project delivery.
  • Coordinate with internal Permitting and Architecture & Engineering Teams.
  • Oversee Architecture & Engineering for the coordination set of plans.
  • Facilitate plan reviews with the Architecture & Engineering Team and Construction Manager.
  • Support the Construction Manager in finalizing and securing project budgets and timelines, ensuring they align with Client expectations.
  • Maintain organized and current project documentation, including schedules, budgets, and outstanding items.
  • Manage Client / Project Tracking systems.
  • Oversee the Furniture, Fixtures, and Equipment (FF&E) Process:
    • Load Tracking - Supervise vendor capacity to ensure adherence to project timelines.
    • Relationship Management - Cultivate strong strategic partnerships with key vendors to enhance performance, capacity, and cost-effectiveness. Act as the primary liaison for vendors and promptly address issues. Negotiate additional volume discounts. Identify and pursue opportunities for deeper collaboration with top vendors.
    • Request for Proposals (RFP) from Vendors.
    • Evaluate Proposals in conjunction with the Construction Manager.
    • Compare Proposals against Budget.
    • Collect Shop Drawings and review with the Construction Manager.
    • Manage Permits.
    • Assist in vendor communications.
    • Compliance Management - Regularly audit and uphold vendor compliance to ensure all Site-work vendors are licensed, bonded, and insured when engaged in RSI Group projects.
    • Process Improvement - Develop and sustain automated processes to enhance overall efficiency.
    • Invoice Support - Assist the accounting and project management teams with vendor invoicing follow-ups, distribution, and payment. Collection of Waivers.
  • Collaborate with the Construction Manager on Requests for Information (RFI), Submittals, and Change Orders.
  • Issue Notices of Completion.
  • Lead the Project Close-Out Process in accordance with General Contractor and Landlord requirements.
  • Submit requests for Tenant Allowance from Landlords.
  • Assist Construction Managers with Weekly Status Updates.
  • Travel Requirements: This role may involve occasional travel, both in and out-of-state, based on Client needs and project demands.

SKILLS AND QUALIFICATIONS

  • Bachelor's degree in construction management or a related discipline is preferred.
  • 1 to 3 years of experience in project coordination or construction management.
  • Strong communication skills (both written and verbal).
  • Knowledge of construction processes, terminology, job site safety, and industry best practices.
  • Basic ability to interpret technical drawings and contracts.
  • Project Management skills, including scheduling, budgeting, and resource allocation.
  • Excellent Time Management abilities.
  • Problem-Solving skills to identify and address challenges that may arise during the process.
  • Proficient in MS Office Suite, including Word, Excel, and Project, with a willingness to learn new software such as Smartsheets.
  • Ability to manage multiple projects simultaneously while maintaining a focus on quality, schedule, and budget.
  • Strong follow-through and accountability.
