**Job Summary**

The Account Management Coordinator plays a vital role in supporting the Account Management Team at Climate Pros. As the liaison between our Field Service and Billing Departments, this individual will be responsible for ensuring seamless communication and collaboration.

**Key Responsibilities:**

  • Monitor and maintain customer work order networks and refrigerant tracking websites to ensure accurate and up-to-date information.
  • Process quotes in customer work order networks and in-house software for customers, ensuring timely and efficient completion.
  • Complete invoicing in customer work order networks and in-house software for customers, maintaining accurate records and meeting deadlines.
  • Process and track Manufacturer warranty claims, providing excellent customer service and ensuring prompt resolution.
  • Follow up on parts ordered by purchasing, ensuring timely delivery and minimizing delays.
  • Create purchase orders for sub-contractors used on service jobs, maintaining accurate records and ensuring compliance.
  • Follow up with Account Managers on customer quotes that are inactive, aged, or not accepted, providing proactive support and ensuring timely resolution.
  • Manage dispatches for review, finalize, and submit to billing, ensuring accuracy and efficiency.

**Requirements:**

  • Excellent oral and written communication skills, with the ability to effectively communicate with customers, colleagues, and management.
  • Strong organizational skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Detailed and accurate, with a focus on maintaining accurate records and ensuring compliance.
  • Good problem-solving skills, with the ability to analyze issues, identify solutions, and implement effective resolutions.
  • High School Diploma/GED, with a minimum of 3 years of clerical or administrative experience.
  • Computer knowledge, including MS Office (Word, Excel, Outlook), and operation of general office equipment.

**Physical Requirements and Working Conditions:**

This role requires regular sitting, standing, and walking, with occasional lifting and/or moving up to 25 pounds. The noise level is usually moderate. All employees may be required to visit a customer site and/or complete a ride-along with a field technician as part of their employment.
