Executive Assistant to Chief Investment Officer

Quest Partners LLC is seeking an exceptionally talented individual to assume a key support role for our Chief Investment Officer. This position requires a high degree of discretion, strong organizational skills, and the ability to work effectively in a fast-paced environment.
The ideal candidate will be located in the NYC Metro or Greenwich, CT area and will be responsible for managing the day-to-day schedule and responsibilities of our Founder. This includes coordinating travel arrangements, managing appointments, and ensuring that the Founder's time is used efficiently and effectively.
The role also involves coordination with other members of the Quest team to ensure seamless execution of tasks and responsibilities.
Key Responsibilities:
- Travel Management:
- Scheduling, coordinating, and assembling itinerary briefs for domestic and international travel.
- Flights, hotels, trains, ground transportation, activities.
- Personal Appointment Management:
- Coordination of wellness appointments: medical, fitness, spa, and holistic.
- Registration requirements for each appointment.
- Maintenance of records for all appointments.
- Estate Project Management:
- Management of daily operations for deliveries, coordination of vendor access.
- Verification of work order completion against scope of work.
- Flagging delays, adjustments, or breaches of contract.
- Maintenance of records for all functions.
- Family Coordination:
- Coordination of the movement of two children between households.
- Partnering with the Executive and Former Spouse to manage caregiver, tutor, and professional support schedules.
- Calendar Coordination and Prioritization:
- Partnering with the Executive Assistant to prioritize and shuffle the Executive's professional, personal, and family obligations.
- Prompt communication of amendments and updates across the network.
- Fiscal Oversight:
- Liaison with the Family Office to coordinate vendor setup, bill pay, and management of vendor disputes.
- Intermediary between the Executive and all Finance teams.
- Maintenance of records for all expenses and refunds.
Requirements:
- Bachelor's degree from an accredited institution or equivalent experience.
- Strong organizational and communication skills.
- Ability to work effectively in a fast-paced environment.
- Low ego, sense of pride in ownership, and a 'can-do' attitude.
- Experience with Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
- Experience with iOS (iPad and/or iPhone).
- Driver's License.
- First Aid and CPR Certification (or willingness to undergo and maintain certification).
- US Passport and willingness to travel.
Compensation:
The base range for this role is expected to be between $100,000 and $150,000, exclusive of discretionary bonus and a competitive comprehensive benefits package.
