Sales and Marketing Support Specialist

The hourly compensation for this position is $21.00. This rate applies to roles within our organization.

Key Responsibilities:
We are in search of a proactive individual who can easily adapt to our environment, is eager to learn about our operations, and can effectively support the needs of various departments.
Your daily tasks will include:
- Assisting the sales team with routine responsibilities, such as crafting proposals, contracts, and group resumes, as well as managing reservations and processing business inquiries.
- Representing the sales team in daily operational meetings.
- Managing calendars and organizing schedules with sound judgment and discretion.
- Coordinating meetings and conference calls, including arranging logistics and catering as necessary.
- Creating systems to manage priorities and deadlines effectively.
- Tracking action items and ensuring timely follow-up on issues.
- Arranging travel plans, including transportation and accommodations, and providing support for itinerary adjustments.
- Composing, proofreading, and formatting correspondence with clients and vendors.
- Managing invoices and purchase orders through our accounting system, ensuring timely approvals and processing.
- Handling administrative tasks assigned by the Sales and General Manager.
- Assisting with special projects and vendor contract management.
- Performing general office duties, including greeting visitors, ordering supplies, and managing mail.
Qualifications:
We are looking for candidates with:
- A minimum of one year of experience in an administrative support role, preferably assisting multiple individuals.
- Proven ability to establish and maintain professional relationships.
- Expertise in managing emails and conducting organized online research.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with payroll and HR systems.
- The ability to adapt quickly to changing priorities and work independently as well as collaboratively.
- Strong follow-up skills and a commitment to maintaining confidentiality.
- Excellent interpersonal and communication skills.
- A Bachelor's or Associate's degree is preferred.
Language Skills:
Effective reading, writing, and verbal communication skills are essential for interacting with various departments, guests, and vendors.
Physical Requirements:
This role requires the ability to stand, walk, and communicate effectively. The employee may need to lift and move items weighing up to 50 pounds.
