The Finance Assistant plays a crucial role in supporting accounting functions to guarantee precision and adherence to the financial program.

Key Responsibilities

  • Examine and categorize invoices and statements for payment, ensuring that the correct cost centers are charged and that expenditures are accurately classified according to project codes and General Ledger codes.
  • Create, release, and track BPO/PO, requesting additional funds as necessary.
  • Reconcile vendor statements to ensure accuracy.
  • Generate payment reports for vendors upon request.
  • Assist in the vendor registration process within the system of record.
  • Support the vendor payment program in line with NET terms.
  • Adhere to detailed Chenega accounting protocols.
  • Assist with credit card reporting, verifying that backup invoices/receipts correspond with the statement's description and amount.
  • Obtain necessary charge codes from credit card holders, Business Managers, and/or Human Resources.
  • Provide timely and detailed cost accounting reports as needed.
  • Offer accounting support for automated financial management systems.
  • Maintain accurate records, files, and logs, drafting all general correspondence as required.
  • Ensure the implementation of effective internal controls to safeguard assets and ensure the reliability of financial statements.
  • Comply with all financial and contract reporting requirements set by private or public funding, licensing, or regulatory agencies.
  • Identify accounting and financial issues and propose solutions.
  • Maintain comprehensive and current operating procedures for all accounting and financial controls.
  • Prepare for the annual financial audit effectively.
  • Review all receipts and disbursements, confirming correct account distribution and ensuring all supporting documentation is accurate and organized.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or equivalent (GED).
  • Preferred: Accounting degree.
  • Minimum of two (2) years of relevant experience.

Knowledge, Skills, and Abilities

  • Preferred experience with purchasing materials/supplies on a DOD contract.
  • Proficient in MS Outlook, Word, PowerPoint, Excel, and Deltek.
  • Strong written and verbal communication skills.
  • Understanding of generally accepted accounting practices and principles.
  • Familiarity with economic principles.
  • Knowledge of auditing practices and principles.
  • Awareness of applicable laws, codes, and regulations.
  • Experience with accounting software applications.
