Key Responsibilities:
  • Overseeing intricate calendars for multiple executives.
  • Managing email and phone inquiries to maximize executive productivity while accommodating diverse preferences.
  • Coordinating domestic and international travel logistics; assisting with payments, expense management, and credit card reconciliation.
  • Serving as the primary contact for meeting room technology, supplier visits, event planning, and celebrations.
  • Organizing and maintaining team collaboration sites, ensuring content is current and easily accessible.
  • Developing communications and presentation materials as needed.
  • Keeping master copies of email distribution lists, organizational policies, and procedures.
  • Overseeing recognition programs, recurring events, and engagement initiatives across global teams.
Qualifications:

Education: 4-year degree or equivalent experience.

Communication Skills: Proficient understanding of effective communication principles, tools, and techniques; ability to convey, receive, and accurately interpret ideas, information, and needs through appropriate communication methods.

Organizational Skills: Knowledge of planning and organizing tasks and resources; ability to manage time and resources effectively to achieve objectives while maintaining a systematic approach. Understanding the importance of accuracy; ability to execute tasks with high precision.

Writing and Editing: Familiarity with copywriting and editing; capability to write, review, and refine texts and documents for marketing purposes.

Team Collaboration: Knowledge of collaborative techniques; ability to work constructively with various individuals and groups. Understanding of relationship management techniques; ability to establish and maintain positive working relationships with clients, vendors, and colleagues.

Adaptability: Knowledge of effective strategies for managing change; ability to adjust to a dynamic environment and embrace change.

Multi-tasking: Knowledge of self-management practices; ability to handle multiple concurrent objectives, projects, or activities, making informed decisions regarding prioritization and time allocation.

Problem-Solving: Knowledge of methods and tools for identifying, anticipating, and resolving organizational or operational challenges; ability to apply problem-solving skills effectively in various situations.
