About the Role
- Provide administrative support to the Managing Director and other senior executives, ensuring seamless day-to-day operations.
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Process expense reports, invoices, and other financial documents through our accounting software.
- Assist with onboarding new employees, including preparing necessary documents and coordinating logistics.
- Perform various clerical tasks, such as data entry, filing, and correspondence.
- Prepare reports, presentations, and other materials as needed.
- Track and input data into our deal management system.
- Collect and analyze information for tax consultants.
- Coordinate end-of-year events and other company functions.
- Process commission invoices from brokers.
- Monitor leasing occupancy activity and update deal notes.
- Assist with leasing strategy for vacant spaces.
- Maintain property books, including rent rolls, stacking plans, and floor plans.
- Prepare PowerPoint presentations for quarterly market calls.
- Prepare commencement documents, ROFOs, ROFRs, and other legal notes using templates.
Requirements
- Bachelor's degree required.
- Commercial real estate experience preferred.
- Real estate license preferred.
- Strong interpersonal and communication skills.
- Ability to manage time and multiple projects efficiently.
- Ability to handle confidential and sensitive information.
- Experience with Microsoft Office Suite and Yardi software.
- High proficiency in written and spoken English.
- Strong attention to detail and organizational skills.
- Ability to multitask and prioritize assignments.
- Physical demands may vary, including occasional sitting, stooping, and lifting up to 20 pounds.
