Job Title: Office Assistant

HealthXL, LLC is seeking a highly organized and detail-oriented Office Assistant to join our team. As the primary point of contact for our office, you will be responsible for maintaining efficient day-to-day operations and providing exceptional customer service to our patients and staff.

Key Responsibilities:
  • Answer and direct phone calls in a timely and polite manner using a multi-line phone
  • Maintain an answer rate of 95% during business hours
  • Return missed calls within 1 business hour and handle appropriately
  • Manage entry door alarm codes and primary contact for all office-related vendors
  • Process mail and review and approve office-related bills
  • Ensure annual inspection of fire alarm and maintain inventory of office supplies
  • Track and maintain adequate inventory of computer equipment for all employees
  • Create shipping labels and schedule candidate interviews
  • Facilitate onboarding tasks for new hires and keep employee contact lists updated
Requirements:
  • Demonstrates iCARE values: Integrity, Growth, Excellence
  • Prior customer service experience handling high volumes of incoming calls
  • Excellent communication skills and phone etiquette
  • Prior experience in an office role, preferably with diverse responsibilities
  • Ability to handle multiple competing priorities and track due dates
  • Proficient use of Microsoft Office Suite (Excel/Word/Outlook)
