Job Summary

The Centralized Intake Specialist plays a critical role in the clinical services programs, serving as the first point of contact for clients. This position requires strong communication and interpersonal skills to assess client needs, determine the best fit with a counselor, and facilitate a smooth intake process.

Key Responsibilities
  • Receive and assess initial client calls, gathering demographic information and verifying insurance coverage.
  • Collaborate with the Supervisor of Fiscal Services to resolve insurance-related issues.
  • Work with various referral sources to ensure clients are linked to appropriate services.
  • Determine the best fit for clients with clinicians, maintaining accurate intake availability.
  • Assist clients in accessing community resources as needed.
  • Collaborate with Psychiatric Services, Intake Coordinator, and Clinical Supervisors to manage clinician caseloads.
  • Add high-risk clients to the appropriate list.
  • Monitor HealtheLink alerts and icarol system for Crisis Services calls, following up with clinicians as necessary.
  • Support the agency's goal of centralizing intake and coordinating with other Child and Family Services programs.
  • Collaborate with community partners to increase awareness of services provided.
Additional Duties
  • Conduct monthly Utilization and Quality Assurance reviews as needed.
  • Provide assistance to clinicians as requested.
  • Collaborate with the Office Manager on administrative and office issues.
  • Maintain a working knowledge of the Credible EMR system.
  • Utilize agency phone and email systems, adhering to customer service protocols.
  • Maintain positive working relationships with program staff and others within the agency.
  • Demonstrate strong interpersonal skills during interactions with internal and external customers.
  • Model sensitivity, fair treatment, and acceptance of diversity in all interactions.
  • Participate in the program's Quality Improvement process.
Requirements
  • High School Diploma/GED required; bachelor's degree preferred.
  • Bilingual in English and Spanish preferred.
  • 2 years of experience working in the mental health field.
  • Knowledge of community resources and programs throughout WNY.
  • Strong computer skills.
  • Strong communication skills.
