Position Overview:

The Procurement Specialist plays a crucial role in managing the purchasing process, ensuring the effective handling of Overage, Shortage, and Damaged (OS&D) goods, and collaborating with the Regional Distribution Center (RDC) to meet customer service objectives.

Key Responsibilities:

To excel in this role, the individual must successfully perform the following essential duties:

  • Generate and manage Purchase Orders (POs) for designated suppliers.
  • Keep suppliers informed about the status of open orders.
  • Ensure timely delivery and accuracy of orders by coordinating with suppliers on shipping procedures.
  • Handle urgent parts orders and provide specific shipping instructions as necessary.
  • Engage with suppliers regarding their performance and devise improvement strategies.
  • Oversee the management of Overage, Shortage, and Damaged (OS&D) goods.
  • Prepare suppliers for OS&D situations and present improvement measures to the Procurement team.
  • Manage accounts payable inquiries from suppliers and ensure timely payments.
  • Enforce existing contracts in accordance with Original Equipment Manufacturer (OEM) agreements.
  • Facilitate supplier training, guiding new suppliers on order management expectations and communication protocols.
  • Verify supply parts and units for new model launches and newly released parts.
  • Analyze supply fill rates, critical back orders, and past-due parts.
  • Disseminate supplier information to the sales team.
  • Assist suppliers and the pricing team with technical inquiries, providing necessary information for review.
  • Conduct regular visits or phone conferences with suppliers to foster strong relationships and understand their operations.
  • Perform additional duties as assigned.

Supervisory Responsibilities: None.

Qualifications:

Required Education & Experience:

- Bachelor’s Degree with relevant work experience; an Associate’s Degree may be considered if the field of study is pertinent and accompanied by relevant experience.

Required Knowledge, Skills, & Abilities:

- Strong organizational and analytical skills; ability to comprehend technical production issues.

- Critical thinking skills for identifying root causes and developing effective solutions.

- Excellent written and verbal communication skills; ability to convey detailed information accurately.

- Proficient in data extraction and trend analysis, with the ability to report findings logically.

- Proficiency in Microsoft Excel, Word, and PowerPoint.

Preferred Education & Experience:

- Bachelor’s degree in Business, Accounting, Sales Management, Supply Chain Management, or a related field; experience in Warehousing/Purchasing, Customer Service, or Sales is advantageous.

Working Conditions:

- Standard working hours: 8:00 a.m. - 5:00 p.m.

- Overtime may be required.

- Work is conducted in an office environment.

- Occasional domestic and international travel may be necessary.
