Operations Executive Assistant

Are you ready to contribute to a dynamic organization and make a significant impact? We are seeking a dedicated Executive Assistant to the President of Operations for our esteemed family of brands.
This role is pivotal in providing high-level administrative assistance, ensuring the seamless and effective functioning of the office.
The ideal candidate will be proactive and highly organized, capable of managing a diverse range of responsibilities, including scheduling, communication oversight, document preparation, and coordination of special projects.
You will serve as a vital point of contact for both internal and external stakeholders, and the successful candidate will possess exceptional interpersonal skills, meticulous attention to detail, and the ability to work autonomously.
Key Responsibilities:
Administrative Support:
- Oversee and maintain the Executive's calendar, organizing meetings, appointments, travel arrangements, and expense tracking.
- Prepare and refine correspondence, communications, presentations, and various documents.
- Handle confidential information with the utmost discretion.
- Coordinate and prepare materials for meetings, including agendas, reports, and presentations, adding a creative touch to internal communications.
- Assist in the management of budgets, expenses, and financial documentation.
- Provide support and coverage for other Executives and Assistants as required.
Communication Management:
- Act as the primary liaison between the Executive and internal/external stakeholders.
- Screen and prioritize incoming communications (emails, calls, messages), responding or redirecting as necessary.
- Draft and disseminate official communications on behalf of the Executive.
Project Coordination:
- Assist in the planning and execution of special projects, ensuring timely completion and alignment with objectives.
- Monitor project timelines, deliverables, and key milestones.
- Collaborate with various departments and teams to gather essential information and support project initiatives.
Office Management:
- Maintain office systems, including data management and filing.
- Order and manage office supplies, equipment, and services as required.
- Coordinate and support company events, meetings, and conferences.
Relationship Management:
- Cultivate and maintain strong relationships with internal and external stakeholders.
- Represent the Executive in meetings and events when necessary.

Work Environment:
This role is an onsite position at our primary campus.
Qualifications:
Experience Requirements:
Minimum of 3 years of professional experience supporting a C-Level executive, with at least 5 years of cumulative work experience.
Preferred experience includes working in a large corporate environment.- Bachelor's Degree preferred (or equivalent combination of education, training, and work experience).
- Exceptional interpersonal skills and the ability to foster relationships within and outside the organization.
- Ability to work independently, act proactively, and manage shifting priorities.
- Exhibit confidentiality, trust, and diplomacy at all times.
Technical Skills:
- Proficient in Microsoft Office, with a strong emphasis on Microsoft Outlook and PowerPoint, along with knowledge of Excel and Concur.
- Strong organizational skills, coordination experience, and excellent verbal/written communication skills.
- Ability to work under pressure and meet tight deadlines.
- Strong service orientation and a passion for assisting others.
Physical Demands / Working Environment:
Ability to pass a drug screen and background checks is required. Candidates must be able to perform the job requirements with or without accommodations.
This position requires onsite presence, and candidates must be willing to relocate to the metro area.
