About the Position

Concern Housing is seeking an Administrative Assistant to provide general office and administrative support, as well as ensure building security.

Key Responsibilities
  • Answer front desk phone and monitor security cameras.
  • Ensure all residents sign in and out of the building.
  • Ensure all visitors show identification and sign in and out of the building.
  • Open, screen, date stamp, and distribute incoming mail soon after receipt.
  • Stamp and send outgoing mail daily.
  • Maintain office supply inventory and prepare purchase orders in the third week of each month for review before placing the order, as necessary.
  • Type documents, letters, etc. and make copies as needed by staff, as well as assist with filing.
  • Assist with Property Management issues/maintenance and ordering of janitorial supplies.
  • Assist the Program Director with administrative needs as necessary (i.e. staff coverage, coordinate trainings, meeting minutes, etc.).
  • Assist with the intake process.
  • Maintain and ensure proper operations of all agency machines (i.e. copier, fax machine, shredder).
  • Primary person responsible for keeping the office neat and orderly (e.g., reception area, conference room, and staff office areas).
  • Ensure that all office and other supplies in the open common areas are stocked at all times (i.e. paper in fax machine and printer, stationery, restrooms).
  • Collect rent checks, transfer and copy all check information onto an Excel spreadsheet, as well as other rent collection and accounting functions (FundEZ).
  • Remain current with all Agency required compliance documents and trainings.
Requirements
  • Minimum High School Diploma with minimum four years administrative experience.
  • Word and Excel required.
