Customer Service Operations Specialist

POSITION SUMMARY:
Accountable for addressing customer requirements, managing documentation related to freight movement, and executing various administrative and customer service tasks essential for the effective functioning of the service center.
KEY RESPONSIBILITIES:
1. Execute administrative and clerical tasks, which may include maintaining records, photocopying, imaging, responding to phone inquiries, data entry, and sorting/distributing mail and packages.
2. Ensure accuracy and completeness of necessary documentation and reports.
3. Deliver precise information and support to customers, which encompasses identifying pick-up and delivery needs, resolving issues, updating systems to accommodate special handling requests, promoting company services, and generating potential sales leads.
4. Input freight shipment details into the computer system, including tracking shipments, generating freight bills, and correcting any discrepancies.
5. Oversee the freight pick-up process as required.
6. Assist customers through phone, email, and fax with inquiries, including tracing shipments, providing rate quotes, addressing tariff discrepancies, and resolving billing questions.
7. Schedule freight delivery appointments as necessary.
8. Review drivers' Hours-of-Service logs for accuracy and report any discrepancies to the appropriate leadership.
9. Support city operations by checking in drivers and processing related documentation, coordinating drop-off situations, and managing driver collections.
10. Collaborate with sales, operations, and other service centers to ensure customer satisfaction and resolve any issues.
11. Reconcile cash and checks collected, prepare deposits, and manage COD check remittance to customers as required.
12. Adhere to all relevant laws and regulations, as well as company policies and procedures.
13. Perform additional duties as assigned.
QUALIFICATIONS:
- High school diploma or GED.
- Preferred two years of general office experience.
- Preferred one year of customer service experience.
- Previous experience in transportation is preferred.
- Strong communication and interpersonal skills.
- Ability to perform basic math calculations, with or without a calculator.
- Proficient written and verbal communication skills.
- Capability to understand various FedEx service products to assess customer needs.
- Familiarity with general office equipment, such as computers, fax machines, copiers, and scanners.
- Typing and data entry skills.
- Preferred ten-key skills.
- Experience with PCs and ability to learn required computer systems and programs.
- Demonstrated time management, organizational, and multitasking abilities.
- Ability to handle confidential information appropriately.
- Capacity to follow instructions and complete necessary training.
- Ability to work independently and as part of a team.
- Ability to thrive in a fast-paced team environment.
- Office and dock setting.
- Fast-paced and deadline-driven.
- Work hours may vary based on operational requirements.
COMPENSATION:
Starting pay rate: $18.13
