Position Summary

As the Senior Executive Administrator, you will be instrumental in ensuring the seamless operation of the executive office. This role involves providing top-tier administrative assistance to the Chief Commercial Officer and the executive leadership team, managing intricate schedules, facilitating executive communications, and overseeing daily operational efficiency. The ideal candidate will exhibit a proactive mindset, outstanding organizational capabilities, and the ability to manage sensitive information with the highest level of confidentiality.

Key Responsibilities

  • Document detailed notes during leadership meetings, establish action items, and ensure the timely execution of tasks and initiatives.
  • Serve as the primary liaison for staff, addressing inquiries, offering support, managing office logistics, and resolving issues.
  • Oversee executive schedules, coordinate and organize meetings, events, customer visits, and dinner engagements to guarantee smooth operations.
  • Manage shipments, ensuring timely pickup, drop-off, and tracking of critical packages, including valuable items.
  • Proactively coordinate travel arrangements for executives and customers, including complex logistics for trade shows and significant internal meetings.
  • Handle sensitive and confidential information with discretion and integrity.

Qualifications

  • Associate's degree or equivalent required; Bachelor's degree in a business-related field is strongly preferred.
  • A minimum of 5 years of experience supporting an executive team, including C-Suite executives.
  • Proficiency in MS Office Suite 365 is required; familiarity with systems such as Salesforce and travel-related platforms is strongly preferred.
  • Fluency in Mandarin is essential for effective communication with international partners and stakeholders.
  • Exceptional oral and written communication skills with the ability to quickly establish rapport with internal teams and external partners.
  • Strong analytical and problem-solving skills.
  • Creative, adaptable, and highly organized.
  • Ability to motivate and collaborate effectively with diverse, global, and cross-functional teams.
  • Willingness to travel domestically (greater than 5%).
