Transportation Operations Specialist

The LIFE PACE (Program of All-Inclusive Care for the Elderly) Clinic team plays a crucial role in delivering primary care to the elderly population in Tulsa.

Our dedicated team of professionals aims to provide exceptional services and oversight to help participants remain in their homes for as long as safely possible, avoiding the need for nursing facility placement.

We are seeking a Transportation Operations Specialist who will be part of a team committed to offering specialized health care for seniors. The Program of All-Inclusive Care for the Elderly (PACE) provides older adults and their caregivers with a valuable alternative to nursing home care.

Participants benefit from comprehensive medical services and social support at the site while enjoying independent living in their own homes and communities.


Key Responsibilities:

The Transportation Operations Specialist is responsible for coordinating transportation for participants in the PACE program. This includes arranging transport to and from their residences to our medical clinic, external doctor appointments, medical testing facilities, Adult Day Health, and other locations as outlined in the participants' care plans.

  • Articulates the philosophy of the LIFE Transportation department.
  • Possesses a general understanding of all agency programs, policies, and procedures.
  • Schedules transportation for external appointments, Adult Day Health, and other participant needs as required.
  • Reviews the transportation schedule daily for accuracy.
  • Submits the next day's transportation manifest by 2 PM to the transportation providers.
  • Reports on service utilization.
  • Participates as a member of the PACE Interdisciplinary Team (IDT).
  • Engages in the Plan of Care (POC).
  • Notifies participants of scheduled appointments and sends reminders via mail, phone, email, etc.
  • Troubleshoots service delays and passenger logistics.
  • Reports immediately on service cancellations and documents 'no shows' and cancellations for all appointments.
  • Performs additional duties as required or assigned.
  • Familiarizes with driver responsibilities and may occasionally transport clients when necessary.
  • On-call duties are required.
  • Handles confidential information appropriately and in compliance with all HIPAA regulations.

Education and Experience:
  • High school diploma or GED required.
  • Current driver's license with a good driving record.
  • Preferred one year of experience in a busy office environment, ideally in health care or transportation.

Knowledge, Skills, and Abilities:
  • Excellent verbal and written communication skills.
  • Exceptional interpersonal skills to foster work relationships.
  • Advanced knowledge of computer technology and Microsoft Office is essential.
  • Positive, professional attitude and appearance.
  • Ability to comprehend written and verbal instructions.
  • Ability to effectively present information and respond to inquiries from groups of managers, clients, customers, and the public.
