Event Management Coordinator

Overview:
The Events Specialist plays a crucial role within the events team at the University of Kansas School of Business, contributing to the planning and execution of a diverse range of events. This position is essential for ensuring that all events are conducted with the highest standards of quality and professionalism.
Key Responsibilities:
- Event Coordination: Plan, organize, execute, and assess a variety of special events for the Business School as directed by the Events Director.
- Project Management: Utilize effective project management and problem-solving skills to oversee event workflows and adhere to deadlines. This includes managing calendars, preparing and distributing invitations, coordinating programming, catering, vendor relations, stakeholder briefings, volunteer management, and handling event logistics.
- Team Leadership: Mentor and support student assistants and volunteers, fostering a collaborative environment.
- Financial Oversight: Track event expenses and identify opportunities for improved financial management and resource allocation.
- Vendor Relations: Establish and maintain strong relationships with vendors and partners, ensuring seamless collaboration for event support.
- Cross-Department Collaboration: Work closely with various departments within the School and the University to maximize outreach and event success.
- Evaluation and Reporting: Conduct evaluations of programs and report findings to enhance future events.
- On-Site Support: Provide assistance during events as needed.
External Events Management:
Implement best practices and guidelines for external events held at Capitol Federal Hall, including staffing, billing, and space allocation.
Miscellaneous Duties:
Utilize event planning expertise to support various initiatives within the School of Business, including managing the office calendar, assisting with promotional item distribution, and participating in team meetings and committees.
Qualifications:
- Bachelor's degree in communications, public relations, education, or a related field, with at least one year of relevant experience; or an Associate's degree/certificate with three years of experience; or a High School Diploma with five years of experience.
- Exceptional communication skills, particularly in customer service.
- Proven project management abilities and attention to detail.
- Ability to interact professionally with diverse constituents.
- Strong customer service orientation and proficiency in Microsoft Office Suite.
- Experience in coordinating large-scale events, preferably in an academic setting.
Position Details:
This is a full-time, benefits-eligible position that may require occasional evening and weekend work. Flexible work arrangements will be considered in accordance with University policies.
