Key Responsibilities

  • Manage incoming correspondence, including mail and emails, ensuring timely distribution and response.
  • Organize meetings, schedule appointments, and maintain the CEO's calendar.
  • Update and secure the CEO's personal and professional technology.
  • Maintain a comprehensive dashboard of ongoing projects, initiatives, and timelines.
  • Effectively handle multiple small projects and responsibilities concurrently.
  • Create and uphold organized filing systems, both digital and physical.
  • Utilize various software applications, including word processing, spreadsheets, databases, calendars, email, and presentation tools.
  • Ensure timely distribution of sporting event tickets.
  • Coordinate travel arrangements for the CEO and family.
  • Procure gifts for family, friends, and clients.
  • Assist in organizing family or client events.
  • Collaborate with the house management team to meet expectations for events and travel.
  • Order supplies as necessary.
  • Provide general administrative support.
  • Implement security measures for sensitive information, including passwords and financial data.
  • Streamline and enhance systems and processes.

Qualifications

  • Minimum of 5 years of relevant experience preferred.
  • Highly detail-oriented with a proactive approach to problem-solving.
  • Comprehensive knowledge of the entire MS Office suite, Zoom, and both Mac and Windows operating systems.
  • Able to thrive in a fast-paced, dynamic environment while meeting deadlines.
  • Exemplary verbal and written communication skills.
  • Demonstrated integrity and discretion in managing confidential information.
  • Willingness to travel and work remotely as needed.
  • Flexible schedule, including availability for evening and weekend support.
  • Outstanding planning and time management skills, with the ability to prioritize daily tasks effectively.
