Job Overview

As an Administrative Assistant at the Finger Lakes Performing Provider System, you will play a crucial role in supporting our team's administrative needs.

Responsibilities

Some of your key responsibilities will include:

  • Greeting visitors and answering calls to the main phone line
  • Managing complex calendars of meetings and appointments
  • Daily mail distribution and notification of deliveries
  • Supporting administrative needs during meetings, including organizing lunches and refreshments
  • Preparing presentations using PowerPoint software
  • Assisting with the development and maintenance of our content calendar
  • Contributing to the development, creation, and publishing of our external digital newsletters and team newsletter
  • Maintaining, monitoring, and creating content for our social media channels
  • Performing other duties as requested or assigned
Back-Up Support

You will also provide back-up support to the Executive Administrative Assistant, which may include:

  • Arranging travel and preparing expense reports
  • Reconciling credit card statements
  • Organizing and maintaining files for corporate documents
  • Monitoring office supplies' inventory and ordering as needed
  • Overseeing office facilities, including maintenance, supplies, and equipment
  • Acting as liaison to the building manager and reporting maintenance issues immediately
  • Coordinating and scheduling activities as requested
  • Following up with employees and external entities as needed to complete tasks
