Position Summary:
The Guest Services Representative is primarily tasked with managing all guest interactions, ensuring that their needs are met and expectations exceeded. This role often serves as the initial point of contact for guests, making it essential to create a welcoming and positive first impression.
The Guest Services Representative is dedicated to delivering outstanding service to both internal and external guests consistently. They will embody the values and culture of the organization.
Key Responsibilities:
- Understand and adhere to all departmental policies, service procedures, and standards.
- Possess comprehensive knowledge of equipment maintenance and usage, ensuring proper handling.
- Anticipate guest needs, respond promptly, and acknowledge all guests, regardless of the time or busyness.
- Maintain positive relationships with guests at all times.
- Address and resolve guest complaints to ensure satisfaction.
- Stay informed about:
- All hotel features and services, including hours of operation.
- Room types, layouts, decor, and locations.
- Room rates, special packages, and promotions.
- Daily occupancy counts and expected arrivals/departures.
- Room availability for any given day.
- Scheduled group activities, including locations and times.
- All hotel and departmental policies and procedures.
- Utilize the computer system for all functions effectively.
- Ensure current information on rates and promotions is accessible at the front desk.
- Prepare and ensure readiness of all materials and equipment for service.
- Oversee the hotel entrance and manage any congestion.
- Supervise the check-in/check-out process, proactively assisting to alleviate pressure.
- Monitor communication logs to ensure timely follow-up on guest requests.
- Maintain a tidy and presentable front desk area.
- Handle guest mail according to established procedures.
- Ensure express check-outs are processed accurately.
- Observe guest reactions and communicate with staff to ensure satisfaction.
- Assist guests with lost or stolen items, following hotel policy.
- Adhere to hotel protocols for guest and employee safety during emergencies.
- Contact newly registered guests shortly after check-in to confirm satisfaction and address any issues.
- Ensure the security of guest accommodations.
The associate is responsible for all duties associated with this position and any additional tasks as assigned.
Qualifications:
Experience & Education:
- High school diploma or equivalent.
- Prior experience in hospitality is required.
- Any combination of education and experience that provides the necessary knowledge, skills, and abilities.
- Familiarity with Windows, Office, and property management systems like Opera is preferred.
- Must be a U.S. citizen or possess a valid work permit.
- Excellent phone etiquette is essential.
- Proficiency in reading, writing, and speaking English is required.
- Strong computer skills are necessary.
- Solid understanding of Microsoft Office programs is required.
- Ability to work effectively under pressure.
- Accurate following of verbal and written instructions is critical.
- Attention to detail is essential.
- Ability to thrive in a fast-paced environment.
- Excellent listening and communication skills are necessary.
