We are seeking an organized and detail-oriented Administrative Support Coordinator to join our team at Malibu Events Promotions.

The successful candidate will play a key role in maintaining the efficiency of our office operations, providing exceptional customer service, and supporting various departments with administrative tasks.

Job Summary:

  • To provide administrative support to the team, ensuring seamless day-to-day operations.
  • To maintain accurate records, documents, and filing systems.
  • To handle customer inquiries and resolve issues promptly and professionally.

About the Role:

  • This is a full-time position, Monday to Friday, working 40 hours per week.
  • We offer a competitive salary of $45,000 - $60,000 per annum, depending on experience.

Key Responsibilities:

  1. Front Desk Management:
  • Greet and assist visitors, clients, and staff with a professional demeanor.
  • Answer, screen, and direct incoming phone calls promptly and accurately.
  • Manage incoming and outgoing mail, deliveries, and correspondence.
Administrative Support:
  • Maintain office supplies, ensuring stock is replenished as needed.
  • Organize and update office records, documents, and filing systems.
  • Support other departments with ad-hoc administrative tasks.
Customer Service:
  • Handle customer service calls related to our events, addressing inquiries and resolving issues.
  • Provide clear and professional communication to clients, ensuring a positive experience.
  • Collaborate with the events team to escalate and resolve complex issues effectively.

Requirements:

  1. Proven experience in an office-based role (administrative or receptionist experience preferred).
  2. Customer service experience is a plus.

Skills & Qualifications:

  1. Strong organizational and multitasking skills with attention to detail.
  2. Excellent verbal and written communication skills.
  3. Proficiency in MS Office Suite (Word, Excel, Outlook).
  4. Ability to work independently and as part of a team in a fast-paced environment.
  5. Professional appearance and demeanor.
