About Women In Need, Inc.:

Women In Need, Inc. is committed to ending the cycle of homelessness by offering transitional and supportive housing for families led by women. Many of these families have fled domestic violence and are working diligently to maintain safety and unity. Our Income Building Program assists clients in transitioning from unemployment to stable employment, enhancing their financial situations through various means such as securing full-time roles, increasing wages, and obtaining health benefits. We also provide essential financial literacy workshops that cover budgeting, bill management, and basic financial skills. With an operating budget of approximately $150 million, we rely on $14 million raised through private and corporate contributions to support our programs, including the Income Building Program and Camp Win.

Role Purpose:

The Volunteer Services Program Coordinator plays a crucial role in overseeing the administration and management of volunteer initiatives, in-kind contributions, and related projects within the Volunteer Services Department. This position encompasses project oversight, administrative responsibilities, volunteer management, and travel to various program sites across the city for events (primarily weekdays, with occasional evenings or weekends). The Coordinator collaborates closely with the Manager, Director, and Interns to ensure the effectiveness of all Volunteer Services initiatives.

Key Responsibilities:

Volunteer Management

  • Oversee the training, onboarding, and supervision of volunteers; conduct both virtual and in-person orientation sessions; and support volunteer operations and placements throughout the organization.
  • Manage all facets of volunteer programs, including outreach to individual and group volunteers; program design, promotion, and evaluation; coordination with onsite staff and clients; logistical planning for events; and intern scheduling and oversight.
  • Build and maintain relationships with individual and corporate volunteer groups to facilitate impactful volunteer events at our shelters and supportive housing programs.
  • Collaborate with staff from various departments to ensure a fulfilling experience for clients and volunteers alike, while adhering to best practices in trauma-informed care and diversity, equity, and inclusion.

In-Kind Donation Management

  • Assist in identifying and nurturing relationships with in-kind donors; coordinate the logistics of donation deliveries, pickups, inspections, organization, and distribution.
  • Supervise daily operations of the Donation Room, including managing interns, assigning tasks to volunteers, and overseeing seasonal organization and distribution logistics.
  • Support annual initiatives such as the Backpack Buddies Drive, College Kit project, Holiday Gift Program, and other special events.

Communication and Reporting

  • Maintain accurate records of volunteers, events, and in-kind donations using various software tools.
  • Contribute to quarterly newsletters and collaborate with communications staff to promote programs externally.
  • Provide written translations and oral interpretations as needed to support Spanish-speaking clients during volunteer events.

Essential Qualifications:

  • Ability to manage multiple projects simultaneously and prioritize effectively.
  • Strong oral and written communication skills, along with excellent interpersonal abilities.
  • Proficient in administrative, organizational, and writing tasks with a keen attention to detail.
  • Spanish language proficiency is preferred.
  • Familiarity with MS Office Suite and Canva is preferred.
  • Previous experience in volunteer coordination or customer service is advantageous.
  • A degree in a relevant field is preferred.
  • Willingness to work some evenings and weekends for special events.
  • Ability to handle a high volume of correspondence in a timely and professional manner.
