Job Title: Executive Assistant

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our C-suite team. This is an onsite position, Monday to Friday, 9am to 5pm, with an hourly rate of up to $40/hour depending on experience.

Responsibilities:
  • Coordinate logistical arrangements for assigned teams, including travel, expenses, complex calendar management, meeting scheduling, catering, and vendor coordination.
  • Offer administrative assistance, such as composing, editing, and sending written and electronic correspondences, memos, forms, presentations, and reports.
  • Collaborate across departments and with other administrative personnel to facilitate interview schedules, team meetings, external vendor meetings, and customer interactions.
  • Manage the processing of expense reports.
  • Prepare meeting agendas and materials, ensuring all logistical details are in place for meeting days.
  • Provide front desk coverage when required.
  • Maintain accurate databases in collaboration with the travel provider.
  • Engage in ad hoc projects as required by Senior and Executive Leadership.
Qualifications:
  • A minimum of 5 years of progressive administrative support experience, with a strong focus on customer service.
  • Demonstrated ability to exercise sound judgment in a fast-paced, rapidly evolving enterprise environment with minimal supervision.
  • Commitment to maintaining confidentiality.
  • Self-motivated individual capable of multitasking and consistently following up on outstanding tasks.
  • Capacity to work effectively both independently and as part of a team.
  • Ability to remain composed and adaptable while managing shifting priorities and responsibilities.
  • Experience in a growing startup environment.
