Job Overview

The role of the Patient Care Administration Specialist is vital to the seamless functioning of our clinics at Tennessee Orthopaedic Alliance, PA. This position encompasses a variety of responsibilities across clerical departments, requiring a comprehensive understanding of clinical operations and the overall practice.

Key Responsibilities:
  • Patient Access Management: Engage with patients during check-in and check-out processes, ensuring a welcoming and supportive environment. Duties include creating patient charts, entering demographic information, verifying insurance details, collecting co-pays, and scheduling follow-up appointments.
  • Surgical Coordination: Manage the scheduling of surgeries by obtaining necessary authorizations, coordinating with hospitals or surgical centers, and preparing surgical packets for patients. This role also involves scheduling therapy sessions and ensuring all required documentation is completed accurately.
  • Appointment Scheduling: Utilize your problem-solving skills to assist patients in accessing the care they require. Responsibilities include answering phone calls to schedule appointments, managing referrals from external physician offices, and submitting documentation in line with organizational guidelines.
  • Insurance Verification: Conduct thorough verification of patient insurance for office visits, liaising with insurance companies to gather necessary benefits information. Maintain an organized approach to managing insurance details and rectify any discrepancies promptly.
  • Revenue Cycle Support: Participate in revenue cycle activities, including daily financial reconciliations and addressing self-pay issues, contributing to the overall financial health of the practice.
  • Additional Duties: Flexibility is key, as the role may require assistance in various areas as clinic needs evolve.
Qualifications:
  • A high school diploma or equivalent is mandatory.
  • Preferred experience includes at least one year in medical office administration, with a focus on orthopaedic settings being advantageous.
  • Exceptional customer service skills are essential, ensuring a positive experience for patients and their families.
  • Strong knowledge of health insurance processes is required.
  • Experience in collecting payments, including co-pays and deductibles, is beneficial.
  • Familiarity with Electronic Health Records (EHR) systems, particularly NextGen, is a plus.
  • Attention to detail is crucial for accurate documentation.
  • The ability to manage multiple tasks and adapt to changing schedules is necessary.
  • Collaboration with clinical and administrative teams is vital for a cohesive work environment.
  • Dependability and punctuality are critical to ensure timely patient care.
