Job Summary

We are seeking a highly organized and detail-oriented Front Desk Engagement Professional to join our team at the Heartland Center for Behavioral Change. This role will provide routine administrative support, working independently within established policies and timeframes.

Key Responsibilities
  • Answer all incoming calls, utilizing a script to respond to inquiries and direct calls to appropriate staff members or programs.
  • Provide exceptional customer service, establishing a professional rapport with consumers and guests, and receiving positive consumer satisfaction reports.
  • Schedule consumer appointments and enter them into the Carelogic system, ensuring timely and accurate data entry.
  • Collect payments from consumers, reconcile financial records, and make banking deposits as directed.
  • Prepare weekly calendars of scheduled activities for clinicians and manager, as well as class/group rosters for each program offered.
  • Process and distribute mail according to established procedures, and prepare office supply and maintenance work orders.
  • Enter, update, retrieve, and disseminate information from computerized records, and review documents for accuracy, completeness, and compliance.
  • Establish and maintain filing systems, prepare records for storage and/or archiving, and sort and file correspondence, documents, and records alphabetically, numerically, or by other established methods.
Requirements
  • Possession of a high school diploma or GED certificate.
  • Three (3) years' secretarial or office clerical experience.
  • Vocational/technical training from an accredited vocational or business school in Office Management, Secretarial Science, or a closely related area may substitute on a year for year basis for the required experience.
  • Current certification in CPR and First Aid may be required for this position.
Working Conditions

This role may require driving, and the successful candidate must have and remain in possession of a valid current driver's license, automobile insurance, and be insurable under the agency's motor vehicle insurance policy.
