Role Summary

The Executive Operations Assistant will provide comprehensive administrative support to the Chief Health Systems and Finance Officer (CHSFO) while facilitating communication and scheduling for the Health and Hunger Taskforce. This position is essential for ensuring the smooth operation of executive functions and requires a high level of discretion and confidentiality.

Key Responsibilities

  • Executive Support: Manage the CHSFO's calendar, arrange meetings, and provide daily briefings on appointments and commitments.
  • Email Management: Review and prioritize correspondence for the CHSFO, responding to routine inquiries as necessary.
  • Travel Coordination: Organize travel arrangements and compile expense reports for submission.
  • Meeting Coordination: Prepare and distribute materials for Finance Committee board meetings, including recording and ensuring the accuracy of meeting minutes.
  • Event Logistics: Coordinate logistics for events and special meetings, including catering and technology setup.

Administrative Duties for Health and Hunger Task Force

  • Serve as the primary contact for participants seeking information about the Health and Hunger Task Force programs.
  • Maintain ongoing communication with Taskforce members and schedule meetings as needed.
  • Develop and manage digital filing systems to ensure detailed record-keeping for funding purposes.
  • Track and coordinate required training renewals for program staff.
  • Assist in preparing materials for presentations and trainings, including document preparation and organization.

Qualifications

  • High school diploma or equivalent.
  • A minimum of three years of experience in an administrative role supporting executive-level staff.
  • Exceptional organizational skills with the ability to manage multiple tasks in a fast-paced environment.
  • Strong written and verbal communication skills with a focus on internal and external collaboration.
  • High level of discretion and confidentiality when handling sensitive information.
  • Proficiency in Microsoft Office Suite, Zoom, Teams, and Google Drive.

Preferred Skills

  • Bilingual in Spanish or Creole.
  • Experience in hunger-relief advocacy or social justice initiatives.
