Position Overview

Reporting to the Director of Budget and Restricted Funds and Workday Finance, the Grants Specialist will focus on financial operations and management of restricted funds at the college level. This role encompasses a variety of fiscal responsibilities that are standard support duties within a designated department or program, including the research of financial data, reconciliations, and the preparation of detailed reports. The position adheres to Generally Accepted Accounting Principles (GAAP), as well as state and federal regulations and institutional policies.

Key Responsibilities

  • Conduct financial reporting for external grants, collaborating with faculty and campus personnel to ensure adherence to financial and grant stipulations.
  • Research and analyze data, develop or revise processes or policies based on findings, and present prepared reports to the supervisor.
  • Establish and maintain databases, spreadsheets, and other fiscal reporting tools, while reviewing and auditing financial information for accuracy and quality assurance.
  • Prepare and facilitate State and Federal Grant proposals utilizing Workday.
  • Provide technical support to colleagues working within various databases and systems, including the college accounting system and general ledger, assisting in resolving discrepancies.
  • Record transactions in journals and/or ledgers, balance entries, and reconcile errors manually or electronically.
  • Facilitate spreadsheets for Restricted Funds/Deferred Revenue across the college.
  • Assist and advise the Director of Budget and Controller regarding the grant status of all college units, providing analysis on necessary corrective actions.
  • Maintain regular, reliable, and non-disruptive attendance, while fostering collegial and harmonious working relationships with colleagues.
  • Perform additional duties as assigned.

Compensation: $19.76 per hour

Required Knowledge, Skills, and Abilities

Proficiency in accounting principles and database management, familiarity with various software applications, and understanding of applicable laws, regulations, and policies relevant to the assigned section. Strong customer service skills and the ability to comprehend and assimilate technical and business-related documents are essential. Capability to apply policies and procedures and other applicable regulations associated with the assigned department or program. Competence in conducting research, performing quantitative quality assurance reviews, and preparing reports is also required.

Physical Demands

Work Environment: The role is primarily conducted in a standard office setting with frequent interruptions and distractions; extended periods of time may be spent viewing a computer monitor. The employee may be required to work or meet during evenings and/or weekends.

Physical Requirements: Primary functions necessitate sufficient physical ability and mobility to operate in an office environment; to stand or sit for prolonged periods; to lift, carry, push, and/or pull up to 25 lbs.; to operate office equipment which may require repetitive hand movement and fine coordination, including the use of a computer keyboard; and to verbally communicate to exchange information.

Qualifications

A minimum of an Associate's degree in Accounting Technology or Finance is required. Additional qualifications determined by the institution for recruitment purposes must be reviewed and approved by the Arkansas Division of Higher Education.

Preferred Qualifications

Experience in Grant Accounting or a related field is preferred, along with familiarity with Workday and Microsoft Office. Other essential skills include strong interpersonal, communication, presentation, and analytical abilities, with a keen attention to detail. Advanced Excel skills are also preferred.
