This role involves welcoming visitors and providing them with essential information in a courteous and professional manner. The Office Coordinator will also support various administrative tasks and projects, reporting directly to the Human Resources Manager. This position is ideal for someone seeking a stable and growth-oriented environment.
Key Responsibilities
Front Desk Management
- Welcomes visitors, identifies the purpose of their visit, and guides them to the appropriate location.
- Ensures all visitors register in the visitor management system and receive identification badges prior to entry.
- Handles incoming phone calls that are not managed by the automated system.
- Maintains a clean and organized reception area.
- Receives, sorts, and distributes daily mail and packages.
- Provides basic information regarding company policies and procedures to visitors and employees.
Administrative and Human Resources Support
- Monitors and orders office supplies to maintain adequate inventory levels.
- Coordinates lunch orders for meetings and ensures conference room supplies are stocked.
- Performs various administrative tasks, including data auditing, document creation, and scheduling interviews and meetings.
- Assists with the onboarding process by preparing necessary paperwork for new hires.
- Updates training databases with new employee information and changes.
- Generates monthly training reports and logs completed training sessions.
- Maintains and updates Work Instructions in the training database.
- Issues parking decals to employees and manages monthly parking reports.
- Conducts periodic audits of parking decals and facility keys.
Qualifications
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and customer service abilities.
- Basic knowledge of administrative and clerical processes.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- High school diploma or equivalent; additional education or experience in HR is a plus.
- Bilingual in English and Spanish is advantageous.
Physical Requirements
- Ability to sit for extended periods.
- Must be capable of lifting up to 15 pounds occasionally.
