Position: Office Assistant for a Multi-Specialty Healthcare Practice

Role Summary: We are looking for a dedicated and skilled Office Assistant to become a vital member of our multi-specialty healthcare practice. Key Responsibilities:

  1. Front Desk Operations:
    • Welcome patients and visitors with professionalism and warmth.
    • Manage incoming calls, schedule appointments, and address patient inquiries.
    • Keep the front desk area organized and presentable.
    • Guide patients to the appropriate examination rooms and healthcare providers.
  2. Administrative Duties:
    • Assist in patient registration and the management of medical records.
    • Coordinate patient appointment schedules to optimize providers' time.
    • Oversee billing and payment processes, ensuring accuracy and compliance.
    • Handle routine correspondence, emails, and faxes with confidentiality.
  3. Management of Medical Records:
    • Accurately organize and maintain both electronic and paper health records.
    • Ensure compliance with HIPAA regulations and protect patient confidentiality.
    • Work collaboratively with healthcare providers for timely and precise charting.
  4. Support for Patient Care:
    • Assist in escorting patients to examination rooms.
    • Provide educational materials and resources to patients as directed.
    • Support healthcare providers during examinations and procedures as needed.
  5. Collaboration with Team:
    • Work alongside other medical staff and office personnel to foster a supportive work environment.
    • Assist colleagues when required, promoting a positive team atmosphere.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration or medical assisting is advantageous.
  • Prior experience in a healthcare or medical setting is preferred.
  • Proficient in office software, including Microsoft Office Suite and electronic health records (EHR) systems.
  • Excellent communication and interpersonal skills, with a focus on patient care.
  • Strong organizational skills and attention to detail for effective task management.
  • Ability to maintain confidentiality and manage sensitive information with care.
