POSITION SUMMARY
The Clerk's Office of the United States District Court for the District of Nebraska is seeking a dedicated Intake Clerk in Omaha. The role involves understanding and adhering to docketing protocols, verifying incoming documents for compliance with federal and local regulations, conducting data quality assessments, and providing essential docketing and clerical assistance. The Intake Clerk will also support both internal and external stakeholders.
Key Responsibilities:
• Receive, assess, and file incoming documents, ensuring they meet the necessary rules, practices, and court standards. Convert documents into digital formats.
• Assign case numbers and allocate cases to judges in a random manner.
• Respond to inquiries regarding case status and assist users of NextGen CM/ECF (Case Management/Electronic Case Filing).
• Verify the authority of attorneys to practice before the court.
• Create summary entries and ensure the accuracy, timeliness, and quality of all documents and proceedings in NextGen CM/ECF. Conduct quality assurance checks on electronically filed documents and case openings and closings. Correct any identified errors in NextGen CM/ECF and notify supervisors of recurring issues.
• Initiate cases upon receipt of starting documents; conclude cases upon receipt of concluding documents.
• Assist in the retrieval and transmission of documents to and from the Federal Records Center.
• Process grand jury returns.
• Collect necessary fees.
• Open and distribute incoming mail.
• Develop, test, and revise operational procedures.
• Serve as a receptionist and provide information to a diverse range of individuals within and outside the court.
• Perform additional duties as assigned.
QUALIFICATIONS
All qualifications must be met at the time of application.
Required:
High school diploma or equivalent, two years of general experience, and one year of specialized experience. A college degree is preferred but not mandatory.
Specialized Experience:
Experience in progressively responsible clerical or administrative roles that require regular application of clerical procedures, demonstrating the ability to apply a body of rules, regulations, directives, or laws. This experience typically involves the routine use of specialized terminology and automated software for word processing, data entry, or report generation. Such experience is often found in judicial systems, law firms, legal counsel offices, banking institutions, educational organizations, social service agencies, insurance companies, and real estate offices. Legal or court experience is preferred but not required.
