The Procurement Specialist plays a crucial role in managing the acquisition of all materials necessary for project execution, focusing primarily on sourcing pipe, valves, fittings, and ductwork.

Compensation range: $80,000

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Identify and procure materials at the most competitive prices while ensuring compliance with project specifications.
  • Prepare and evaluate vendor quotations as a prerequisite to formalizing purchase orders.
  • Verify that purchase orders are accurate and reflect the specific material requisitions.
  • Communicate with vendors to track order statuses and manage backorders as needed.
  • Select vendors based on their reliability and historical performance.
  • Maintain comprehensive documentation and logs that support procurement activities.
  • Gather necessary product information for the submittal process.
  • Keep current market pricing updated for project-related materials to assist purchasing and estimating teams.
  • Input purchase order data into the designated software systems.
  • Provide purchase order numbers and maintain relevant authorizations for project personnel.
  • Assist in material and equipment takeoff pricing for estimating purposes.
  • Review vendor invoices related to purchase orders to ensure accuracy.
  • Identify and document any product or service discrepancies to facilitate resolution.
  • Propose corrective actions for identified issues.
  • Explore new sources for materials as needed.
  • Foster positive relationships with vendors and clients.
  • Support the training of junior procurement staff.
  • Assist in disseminating the material requisitioning procedures to field personnel.
  • Support the Purchasing Manager as required.
INTERACTIONS:

Frequent collaboration with vendors, product representatives, project teams, and various departments within the organization.

REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

A Bachelor's degree from an accredited institution, along with two years of relevant experience or training; or a combination of education and experience in HVAC and plumbing procurement is preferred. Familiarity with pipe, fittings, valves, and ductwork is advantageous.

KNOWLEDGE/SKILLS/ABILITIES:

  • In-depth knowledge of project-related materials, particularly pipe, valves, fittings, and ductwork.
  • Strong attention to detail and accuracy.
  • Familiarity with purchasing systems, preferably JDE or Vista.
  • High ethical standards in purchasing transactions.
  • Ability to interpret specifications, plans, and drawings.
  • Capability to understand and apply policies and procedures effectively.
  • Ability to work independently under varying levels of pressure.
  • Skill in responding to urgent requests and adapting to changes.
  • Effective communication skills with vendors, project staff, and office personnel.
  • Aptitude for working in a dynamic office environment with tight deadlines.
LANGUAGE SKILLS:

Must possess the ability to communicate effectively and collaborate with employees, vendors, and suppliers at all levels.
