Job Overview
We are seeking an experienced Administrative Assistant III to join our team at the Wisconsin Center for Education Research (WCER). This role will provide administrative support to multiple research projects, working under general supervision and reporting to the Client Services Administrative Supervisor.
Key Responsibilities
- Schedule management: Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations.
- Communication: Serves as a primary point of contact for individuals and groups, providing organizational information via phone, in person, and through other communication mediums.
- Record-keeping: Prepares and audits complex records, edits documents, and reviews work done by others.
- Communication development: Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures.
- Organizational systems: Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations.
Requirements
- Skilled in Microsoft Office software: Experience with effective use of Microsoft Office software.
- Collaborative platforms: Knowledge of various collaborative online platforms, including UW Box, Google suite, and MS Teams.
- Meeting planning: Experience with face-to-face and online meeting and event planning.
- Data entry: Experience with data entry, management, and tracking.
- Excellent communication skills: Excellent verbal and written communication skills to effectively engage at all levels of the organization.
- Attention to detail: Excellent attention to detail.
- Independent work: Ability to work independently and collaboratively within teams.
- Self-motivation: Highly self-motivated and proactive in problem resolution.
- Prioritization: Strong prioritization of tasks and time management to meet competing deadlines.
Preferred Qualifications
- UW policies: Knowledge of UW policies/procedures related to travel.
- Purchasing experience: Prior experience with purchasing and procurement cards.
- Customer service: Customer service/Hospitality skills.
Work Schedule and Benefits
This full-time position requires work be performed in-person, onsite, at a designated campus work location. The salary for this position is $24.00 hourly, depending on qualifications. Employees can expect to receive benefits such as generous vacation, holidays, and paid time off; competitive insurances and savings accounts; retirement benefits.
