Job SummaryWe are seeking an experienced Financial Operations and HR Coordinator to join our team at the Mignone Center for Career Success. This dynamic role will be responsible for performing a wide range of administrative activities related to finance, human resources, office management, and general administrative coordination.
The successful candidate will work independently with minimal supervision in a fast-paced environment with multiple priorities, anticipate and resolve problems, and update the Assistant Director of Administration on project status. This position may oversee the work of support staff, student employees, and other temporary employees.
Key Responsibilities**Financial Operations**
- Provide financial administrative support for a large, complex budget, including monitoring costs and reconciling departmental funds using Harvard's financial database systems.
- Prepare reports used to track and forecast expected income, manage check, ACH and Wire requests/processing for all income-generating events, and resolve billing discrepancies and refund requests.
- Manage billing and payment processes, including invoices, reimbursements, credit vouchers, maintain departmental vendor relationships, handle order and billing-related questions, process student stipends/grants, create and process journals, and maintain internal tracking Excel spreadsheets for budgetary planning purposes.
**Human Resources Administration**
- Provide HR administrative coordination for a team of 27 FTE staff plus student employees and temporary employees, coordinate and promote staff engagement events, and coordinate performance management processes.
- Coordinate on-boarding and off-boarding of all staff, including hiring and on-boarding/off-boarding of students and seasonal temporary workers.
**Office Management and Administration Coordination**
- Organize and maintain office technology inventories and office supplies, maintain financial and HR files in line with Records Management Schedule, and order supplies as needed using Harvard's eProcurement/supplier platform.
- Organize and distribute information to staff regarding building updates, serve as primary contact for building maintenance issues, organize office-wide seasonal maintenance projects and other maintenance issues as needed, participate in a range of office-wide events, and perform other administrative responsibilities as needed.
To be considered for this role, you should have:
- A college degree or equivalent experience in a related field.
- Five or more years of related experience, including excellent organizational skills, ability to prioritize work, proven project and/or program management skills, strong interpersonal, communication, and problem-solving skills.
- Experience maintaining confidentiality, using initiative/judgment, and tact/discretion, and using Excel spreadsheets, financial and HR databases; Office 365, SharePoint, and other related platforms.
This full-time position offers a competitive salary of approximately $55,000 - $65,000 per year, depending on experience. In addition, Harvard University provides a comprehensive benefits package, which includes paid time off, health and welfare benefits, retirement plan, tuition assistance, professional development opportunities, and more.
Please note that all remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only).
