Grants Management Specialist II

Role Summary:
The Grants Management Specialist is responsible for a range of functions related to grant administration, including both pre-award and post-award processes. The role encompasses the following key responsibilities:

Pre-Award Responsibilities:

Provide comprehensive support in the preparation, management, and submission of grant proposals to various funding entities, ensuring compliance with all relevant guidelines and requirements.

This includes thorough reviews of proposals to ensure alignment with the specific stipulations of the funding opportunity.

Post-Award Responsibilities:
Collaborate with senior research administrators to oversee all aspects of grant management throughout the award lifecycle. This includes ensuring accurate documentation and routing in accordance with institutional policies. Work closely with various university offices to facilitate timely processing of grant-related actions. Responsibilities also include reviewing award documents for any discrepancies from proposed funding levels and adjusting budgets as necessary in collaboration with principal investigators (PIs).

Maintain detailed financial reconciliations for all active grants and projects, ensuring compliance with state, federal, and institutional regulations. Monitor expenditures to ensure they are appropriate and align with budgetary constraints.

Assist in the preparation of financial reports and projections as requested by PIs or departmental leadership. Ensure timely submission of invoices and reports to funding agencies, and maintain effective communication with PIs regarding financial matters.

Participate in relevant training and networking opportunities to enhance knowledge of fiscal responsibilities and grant management best practices. Stay informed about policy changes and communicate updates to relevant stakeholders.

Fiscal Responsibilities:

Manage procurement activities for laboratory supplies and services, ensuring compliance with grant and institutional policies.

This includes creating and verifying requisitions, processing invoices, and facilitating large purchases as needed.

Review and approve travel requests and expense reports, ensuring adherence to institutional guidelines. Provide guidance to administrative staff regarding procurement and travel policies.

Qualifications:

A Bachelor's degree with a minimum of two years of experience in grant administration or a related field is required.


Preferred Skills:

Strong communication skills, both verbal and written, are essential. Candidates should demonstrate the ability to organize and prioritize tasks effectively, as well as analyze and interpret data.

Familiarity with grant management systems and financial software is preferred.
