Position Overview

Salary: $65k-$75k DOE

The Grant Development Specialist at the Pasadena Educational Foundation (PEF) is pivotal in advancing the organization's fundraising initiatives. This role is dedicated to identifying, researching, and securing various grants throughout the year for both PEF and the Pasadena Unified School District (PUSD). The Grant Development Specialist is tasked with maintaining and reporting on all grants, ensuring adherence to grant stipulations, and contributing to the ambitious goal of raising $5,000,000 annually. This position is a vital part of the Development team and collaborates closely with the Development Director to further PEF's mission and objectives.

Key Responsibilities

1. Grant Research & Identification

  1. Conduct comprehensive research to discover potential grant opportunities from foundations, corporations, and government entities.
  2. Maintain an updated database of grant prospects and submission timelines.
  3. Develop a thorough understanding of PEF's and PUSD's operations, programs, priorities, innovations, history, mission, and outcomes.

2. Grant Writing & Submission

  1. Compose persuasive grant proposals and applications tailored to the specific requirements of each funding opportunity.
  2. Collaborate with relevant staff to gather necessary information and supporting documents for grant submissions.
  3. Ensure timely submission of all grant applications.

3. Grant Management & Reporting

  1. Maintain precise records of all grant activities, including proposals submitted, grants awarded, and funds received.
  2. Prepare and submit all required grant reports, ensuring compliance with funding requirements and deadlines.
  3. Monitor grant expenditures and ensure funds are utilized in accordance with grant agreements.
  4. Assist in maintaining the donor database.

4. Collaboration & Communication

  1. Work closely with PEF's Executive and Development Directors to align grant writing efforts with PEF's and PUSD's fundraising objectives and strategic priorities.
  2. Collaborate with program staff to understand and communicate the impact of PEF's programs in grant proposals and reports.
  3. Maintain clear and consistent communication with funders and stakeholders.

5. Fundraising Strategy & Support

  1. Assist in developing and implementing a comprehensive fundraising strategy to achieve the annual fundraising goal of $5,000,000.
  2. Participate in development team meetings and contribute to overall fundraising initiatives and events.
Qualifications
  1. Bachelor's degree or higher.
  2. Proven experience in grant writing and fundraising, preferably in the non-profit sector - minimum 5 years.
  3. Excellent research, writing, and editing skills.
  4. Strong communication and interpersonal skills with the ability to work collaboratively and courteously with external partners and a history of appropriately handling communication with high-net-worth donors and/or foundation representatives.
  5. Strong organizational and project management abilities.
  6. Ability to meet deadlines and manage multiple grant applications and reporting simultaneously.
  7. Detail-oriented with a high level of accuracy.
  8. Proficiency in using grant management software and other relevant tools such as Microsoft Office and Google Workspace.
  9. A passion for public education.
Physical Demands & Work Environment
  1. Position may require occasional evening and weekend work to meet grant deadlines or attend fundraising events.
  2. The role is primarily in-office with some travel to meet funders and stakeholders as needed.
  3. Must be able to process complex verbal and written instructions.
  4. Must be able to utilize standard office equipment - phone, computer, email, copier, etc.
  5. Ability to sit, stand, or talk for up to eight hours a day.
